Reporting directly to the Chief Financial Officer, the Executive Assistant plays a pivotal role in delivering high-level administrative support and ensuring the smooth operation of the Office of the CFO. Acting as a key liaison for internal and external stakeholders, this role demands exceptional organizational acumen, sound judgment, and the ability to manage complex priorities in a fast-paced, high-performance environment. The Executive Assistant is instrumental in enabling the CFO to focus on strategic financial leadership by proactively managing communications, schedules, and critical deliverables.
Must have:
  • Oversees and optimizes the CFO’s complex and fast-paced calendar.
  • Partners closely with the CFO’s leadership team to facilitate effective communication.
  • Manages a broad range of executive administrative functions, including expense tracking, professional correspondence, and travel planning.
  • Serves as a trusted advisor and gatekeeper, managing access to the CFO.
  • Represents the CFO in interactions with Board members, financial institutions, shareholders, and auditors.
  • Proactively monitors and follows up on confidential and time-sensitive matters.
  • Maintains ongoing alignment with the CFO to ensure visibility into critical deadlines.
  • Produces high-quality executive deliverables, including acknowledgments, briefing notes, and formal correspondence.
  • Coordinates all aspects of domestic and international travel.
  • Provides administrative support for the CFO’s participation in Audit Committee activities.
  • Prepares agendas, briefing materials, and documentation for finance leadership meetings.
  • Collaborates with other Executive Assistants across the organization.
  • Leads or contributes to special projects and initiatives as assigned by the CFO.
  • At least 10 years of progressive experience providing executive-level support.
  • Mastery of time management and organizational techniques.
  • Exceptional relationship-building skills.
  • Demonstrated discretion and sound judgment in handling sensitive information.
  • Fluency in both French and English, with outstanding communication abilities.
  • Strong analytical thinking and initiative, with a proactive approach to problem-solving.
  • Highly dependable and team-oriented, with a collaborative mindset.
  • Proven integrity in managing confidential matters.
  • History of achieving results in high-performance environments.

The Executive Assistant is instrumental in enabling the CFO to focus on strategic financial leadership by proactively managing communications, schedules, and critical deliverables.

Key Responsibilities

  • Oversees and optimizes the CFO’s complex and fast-paced calendar, ensuring strategic alignment of priorities and seamless scheduling of high-level internal and external engagements;
  • Partners closely with the CFO’s leadership team to facilitate effective communication, coordination, and execution of financial strategies and cross-functional initiatives;
  • Manages a broad range of executive administrative functions, including expense tracking, professional correspondence, and the planning of detailed travel itineraries;
  • Serves as a trusted advisor and gatekeeper, managing access to the CFO and handling inquiries and communications with discretion and professionalism;
  • Represents the CFO in interactions with Board members, financial institutions, shareholders, auditors, and other key stakeholders, ensuring timely and accurate communication;
  • Proactively monitors and follows up on confidential and time-sensitive matters, identifying appropriate actions or delegations as needed including maintaining confidentiality and secure handling of material non-public information;
  • Maintains ongoing alignment with the CFO to ensure visibility into critical deadlines, financial reporting cycles, and strategic priorities;
  • Produces high-quality executive deliverables, including acknowledgments, briefing notes, and formal correspondence, with a hands-on and detail-oriented approach;
  • Coordinates all aspects of domestic and international travel, including booking, logistics, and preparation of supporting documentation;
  • Provides administrative support for the CFO’s participation in Audit Committee activities, including meeting preparation, follow-up, and timely distribution of materials;
  • Prepares agendas, briefing materials, and documentation for finance leadership meetings, budget planning sessions, and strategic off-sites;
  • Collaborates with other Executive Assistants across the organization to share best practices and drive continuous improvement;
  • Leads or contributes to special projects and initiatives as assigned by the CFO, demonstrating initiative and ownership.

Qualifications

  • At least 10 years of progressive experience providing executive-level support, ideally within Finance or a related corporate environment;
  • Familiarity with public company governance frameworks, such as SOX, SEC regulations, and external reporting listing requirements would be an asset;
  • Mastery of time management and organizational techniques, with a proven ability to juggle competing priorities and maintain precision under pressure;
  • Exceptional relationship-building skills, with the ability to engage confidently with senior executives, Board members, and external stakeholders;
  • Demonstrated discretion and sound judgment in handling sensitive information and navigating complex, high-stakes situations;
  • Fluency in both French and English, with outstanding communication abilities—written, verbal, and interpersonal;
  • Strong analytical thinking and initiative, with a proactive approach to problem-solving and decision-making;
  • Highly dependable and team-oriented, with a collaborative mindset and the ability to work autonomously when needed;
  • Proven integrity in managing confidential matters and delivering high-quality service in a fast-paced, dynamic setting;
  • History of achieving results in high-performance environments, with adaptability to shifting demands and tight timelines;
  • Willingness and flexibility to adjust work hours to meet evolving business needs.
