Job Description

The Maintenance Administrator, reporting to the Head of Operations, is responsible for delivering high levels of customer service across the ROI business. This role involves supporting fleet maintenance, vehicle testing, road taxing, and various administrative duties. Key tasks include system updates, report generation, data processing, problem-solving, and assisting with customer inquiries. The role requires strong product knowledge, customer service excellence, and operational efficiency, working collaboratively with the fleet maintenance team.
Must have:
  • Provide ongoing support to fleet customers and drivers.
  • Responsible for arranging all vehicle motor tax.
  • Manage all scheduled vehicle testing (CVRT and NCT).
  • Efficiently manage credit card transactions and reconciliation.
  • Manage scheduled and un-scheduled report requests.
  • Manage incoming queries and payments for fines, fuel cards, and toll tags.
  • Provide efficient management of system updates across the customer base.
  • Support customer onboarding documentation and accurate system updates.
  • Support system updates, process flows, and accuracy on fleet systems.
  • Work collaboratively with all teams to support the business and customers.
  • Demonstrate competency in computers, systems, Microsoft Outlook, and RVS systems.
  • Office administration and Customer Service experience.
  • Strong communication and interpersonal skills.
  • Team player with enthusiasm and commitment.
  • Ability to think, take initiative, identify efficiencies, and make decisions.
  • Good time management, workload management, and prioritization.
  • Ability to see issues through to completion and meet deadlines.

Job Description

Reporting to the Head of Operations, the Maintenance Administrator is primarily responsible for working alongside all functions across our ROI business, ensuring to deliver on high levels of customer service. The role involves working closely with fleet maintenance, supporting vehicle testing, vehicle road taxing and all other administrative duties surrounding vehicle maintenance. This tasks include, but are not limited to supporting system updates, generating reports, processing data, data uploads, problem solving, assisting with customer enquiries and issue resolution.

Within this role, you will provide high quality and administrative support, working collaboratively with our fleet maintenance team, including our office in NI. There is a key focus on product knowledge, customer service excellence and operational efficiency.

Key Duties

  • Work as part of our team to provide ongoing support to our fleet customers and their drivers
  • Responsible for arranging all vehicle motor tax - for motor tax renewals and all new vehicles
  • Responsible for managing all scheduled vehicle testing, to include CVRT and NCT
  • Responsible for efficient management of all credit card transactions, prompt reconciliation and management of sufficient receipts.
  • Provide efficient management of both scheduled and un-scheduled reports requests
  • Manage all incoming queries and payment relating to fines, fuel cards and toll tags, providing responses within Radius agreed SLA’s
  • Provide efficient management of system updates across our entire customer base
  • Support customer onboarding documentation, helping to provide accurate system updates, to manage all customer procedures accurately and customer success
  • Support system updates, process flows and accuracy on all main fleet systems
  • Work collaboratively with all teams to support the business and our customers
  • Undertake any reasonable role-related duties and ad hoc projects, which may be requested from your manager from time to time
  • Demonstrate competency in the use of computers and out systems with a familiarity with Microsoft Outlook and an ability to become familiar with and learn how to use and navigate all RVS systems

Other Operational Duties

  • Develop and maintain current knowledge and understanding of all products and services provided by the company and maintaining, at all times, a professional and ethical relationship with customers when representing the company
  • Review and report any feedback that may impact on efficiencies for tasks within the Customer Operations role and help to develop strategies / process improvements to address concerns
  • Highlight and help to implement any change initiatives / projects within the ROI office
  • Any other duties that may be provided by management from time to time

Qualifications

  • Office administration and Customer Service experience an advantage
  • Customer driven with strong communication and interpersonal skills in order to build and maintain relationships
  • Team player, actively participating in shared objectives and has enthusiasm and commitment to work towards team goals
  • Ability to think and take initiative, identify & implement efficiencies and the confidence to make appropriate decisions when required
  • Good time management skills, managing fluctuating workloads & prioritisation of daily tasks
  • Ability to see issues through to completion and work to deadlines
  • Adopt a professional approach, demonstrating high standards of performance, constantly striving to improve efficiencies, achieving business objectives.
  • Must be flexible and able to work in a fast-paced environment
  • Expert in Microsoft Office, outlook, word and excel
  • Excellent written and verbal communication skills
