Databricks is seeking an experienced Sr. Executive Assistant in Serbia to strategically partner with and support the Legal leadership team, reporting to the International General Counsel. This role involves managing complex calendars for multiple executives across time zones, orchestrating high-impact meetings and events, and serving as a trusted liaison. Responsibilities include optimizing executive time, ensuring efficient meeting preparations, managing travel and expenses, and proactively handling projects. The assistant will drive efficiency, foster collaboration, and enable senior leaders to scale their impact globally, with occasional travel required.
Must have:
  • Managing International General Counsel’s and 3 Directors’ calendars efficiently
  • Ensuring pre-meeting preparations and agendas are in place
  • Keeping key stakeholders briefed on upcoming meetings
  • Organizing domestic and international travel arrangements
  • Managing and processing expenses and contracts
  • Proactively taking on additional duties or projects
  • Collaborating with the Admin/Ops team for planning
  • 12+ years of executive administrative experience
  • Exceptional communication skills and strong follow-through
  • Ability to exercise sound judgment and make independent decisions
  • Advanced calendar management skills (Slack, Gmail, Google Calendar)
  • Exceptional organizational, time-management, and prioritization skills
  • Experience planning and executing large-scale meetings, events, and travel logistics
  • Excels in travel and expense management, plus team budgeting and reporting
  • High level of discretion in handling sensitive information
  • Strong relationship management skills
  • Proactive, solution-oriented, and adaptable
  • Comfortable learning new tools and systems

Job Details

Mission:

Databricks Executive Assistants are strategic partners who drive efficiency, foster collaboration, and enable our most senior leaders to scale their impact. As we continue to expand globally, we are seeking an experienced Executive Assistant in Serbia to support our Legal leadership team, reporting to our International General Counsel. This role will work closely with executives in Zurich, London, Boston USA, and across regions, managing complex calendars, orchestrating high-impact meetings and events, and serving as a trusted liaison with internal and external stakeholders. Occasional travel will be required to support critical company initiatives and events.

Impact you will have:

  • Managing our International General Counsel’s and 3 Directors’ calendars efficiently so their time is optimised, making smart prioritisation decisions about which meetings to schedule and which to push out
  • Ensure all necessary pre-meeting preparations and agendas are in place so that meetings are executed efficiently
  • Keep key stakeholders fully briefed on upcoming meetings and ensure all participants are aligned with the schedule and follow-on actions
  • Organize domestic and international travel arrangements with attention to detail and efficiency
  • Manage and process expenses and contracts with both internal and external stakeholders
  • Proactively take on additional duties or projects that may be reasonably required, plan and execute upon those projects, and deal with matters arising in a timely and effective manner
  • Collaborate with the Admin/Ops team by engaging with colleagues to support planning for meetings, off-sites, events, projects, and professional growth

What we look for:

  • 12+ years of executive administrative experience, preferably in a global technology or software organization.
  • Exceptional communication skills and strong follow-through, with the ability to influence and collaborate at all levels.
  • Demonstrated ability to exercise sound judgment and make independent decisions in ambiguous or high-stakes situations.
  • Advanced calendar management skills (Slack, Gmail and Google Calendar expertise required), with a proven track record of supporting multiple executives across time zones. Expert skills in managing multiple time zones.
  • Exceptional organizational, time-management, and prioritization skills; able to manage multiple complex projects simultaneously and derive priorities from high-level goals.
  • Experience planning and executing large-scale meetings, events, and travel logistics, including budget management and vendor coordination.
  • Excels in travel and expense management, plus team budgeting and reporting, with meticulous attention to detail and process.
  • High level of discretion in handling sensitive information and confidential matters.
  • Strong relationship management skills; enjoys the challenges of working with a diverse range of people and projects.
  • Experience with proactively identifying and driving process improvements.
  • Proactive, solution-oriented, and adaptable to changing priorities and environments with a focus on delivering results.
  • Comfortable learning new tools and systems at a fast pace.
  • Experience in a fast-growing, high-performing, and diverse technology organization is highly desirable.
  • Expected to demonstrate flexibility and occasionally adjust their schedules to support executives’ needs after regular office hours.
  • Occasional travel to the United States and Europe may be required. Ability to obtain a Visa to travel to the United States.
