Job Summary

The Tax Support Specialist provides essential administrative and coordination support to the Global Tax Department of a multinational company from the India Shared Services Center. This individual contributor role focuses on tasks such as tracking tax exemption certificates, updating transfer pricing agreements, organizing tax-related records, coordinating SOWs and PREQs, assisting with vendor invoices, monitoring professional fee accruals, and supporting tax payments and reporting. Exceptional organizational skills, attention to detail, and strong communication are critical for success.

Must Have

  • Track and coordinate tax exemption certificates and similar documents
  • Update transfer pricing agreements and maintain records
  • Organize and file scanned documents and tax-related records
  • Coordinate Statements of Work (SOWs) and initiate Purchase Requisition (PREQ) processes
  • Obtain approvals for vendor invoices and assist with follow-ups
  • Assist with tracking professional fee accruals and monitor budgets
  • Provide support for tax payments to the cash applications team
  • Assist with tax reporting and compliance activities
  • Coordinate schedules for meetings, deadlines, and deliverables
  • Monitor and follow up on outstanding action items
  • Support document retrieval for audits or internal reviews
  • Liaise with US-based tax team, internal departments, and external vendors
  • Maintain confidentiality and ensure compliance with company policies
  • Bachelor’s degree or equivalent work experience in administration
  • 2+ years of experience in an administrative or support role
  • Excellent organizational, time management, and prioritization skills
  • Strong verbal and written communication skills in English
  • High attention to detail and accuracy
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Proficiency in document management systems
  • Ability to work independently and collaboratively
  • Ability to accommodate overlap with US business hours

Who We're Looking For

The role will provide essential support to the Global Tax Department of a multinational company from the India Shared Services Center. The role focuses on a variety of administrative and coordination tasks to ensure efficient tax operations. Tax-specific expertise is not required; however, exceptional organizational skills, attention to detail, and strong communication abilities are critical.

Key Responsibilities

  • Track and coordinate the generation and collection of tax exemption certificates, certificates of residency, and similar documents.
  • Update transfer pricing agreements, facilitate the collection of necessary signatures, and maintain accurate records.
  • Organize and file scanned documents and other tax-related records in accordance with company procedures.
  • Coordinate Statements of Work (SOWs) and initiate Purchase Requisition (PREQ) processes for the Tax Department.
  • Obtain approvals for vendor invoices and assist with related documentation and follow-ups.
  • Assist with tracking professional fee accruals and monitor actuals against departmental budgets, providing regular updates and reports to the Tax Department.
  • Provide necessary support for tax payments to the cash applications team, ensuring accurate and timely processing.
  • Assist with tax reporting, including gathering information, preparing documentation, and supporting compliance activities as directed.
  • Coordinate schedules for meetings, deadlines, and deliverables across the Tax Department and related teams.
  • Monitor and follow up on outstanding action items to ensure timely completion.
  • Support document retrieval for audits or internal reviews.
  • Liaise effectively with US-based tax team members, internal departments, and external vendors to ensure timely completion of tasks.
  • Support the Tax Department with additional administrative duties as assigned.
  • Maintain confidentiality and ensure compliance with company policies and data protection standards.

Experience, Education, and Certifications:

  • Bachelor’s degree or equivalent work experience in administration or a related field.
  • 2+ years of experience in an administrative or support role, preferably in a shared services or multinational environment.

Additional Requirements:

  • Excellent organizational, time management, and prioritization skills.
  • Strong verbal and written communication skills in English.
  • High attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and document management systems.
  • Ability to work independently and collaboratively in a cross-functional, global team environment.
  • Experience supporting finance, legal, or tax teams is a plus.
  • Familiarity with document control and workflow management tools.
  • Must be able to accommodate overlap with US business hours as required for team meetings and coordination
