Cloud Chamber is looking for a personable and courteous Front Desk Agent to be the welcoming spirit of our Montreal studio location. You will work closely with the Facilities Coordinator to ensure an overwhelmingly positive employee and guest experience. You are a confident and positive team player with a hospitality centric mentality.  You will be the first point of contact for Cloud Chamber guests, interview candidates, and employees, providing a warm reception, assisting in the day-to-day office operations, and providing an overall outstanding impression of our studio. This is an opportunity to be an integral member of a fast-paced, upbeat, and evolving AAA game studio in Montreal. 

Please note: this is a full-time, onsite position with a requirement for onsite presence five days a week.

Job Details:

  • Warmly greet employees, visitors, and candidates upon arrival, directing them as needed to their Cloud Chamber contacts while maintaining proper security protocols.
  • Arrange transportation for office guests and employees as needed, including assistance for travel and hotel accommodations and support for employees traveling from outside of Quebec, or employees traveling from other studio locations.
  • Provide administrative support to the Operations and Leadership teams, including managing expense reports and credit card reconciliation.
  • Manage the coordination of parcel and document delivery by messenger service.
  • Assist with the coordination of onboarding new employees in the studio.
  • Assist in the coordination of meetings including, but not limited to, preparing meeting rooms, ordering food and beverage service, and notifying meeting hosts of food/attendee arrival.
  • Manage incoming as well as outgoing mail and package distribution.
  • Compose, update, translate, scan, and file various documents as needed.
  • Manage third-party cleaning services and requests coming from the building administrative team.
  • Assist the Facilities Coordinator with the management of third-party vendors engaged by the studio.
  • Maintain inventory of general office supplies.
  • Assist with general cleaning outside of regular janitorial visits, including sanitizing conference rooms, loading and unloading dishwashers, removing unused and unwanted items, and maintaining a clean cafeteria space.
  • Organize and coordinate general office operations and procedures, tracking expenditures, and keeping updated records of office expenses and costs.
  • Perform other duties as needed and assist with projects as assigned by your manager.
  • Help plan and coordinate employee desk locations, internal desk relocations, and seating arrangements.
  • Substitute for the Facilities Coordinator when needed during the course of the day, and during absences.
  • Other duties as they are assigned.

Skills, Experience et Qualifications:

  • 1-2 years of experience as a receptionist or similar position in an onsite capacity.
  • Proficient with MS Office and/or GSuite.
  • Full professional proficiency, spoken & written communication skills, in English and French.
  • Ability to work independently and successfully manage several tasks simultaneously. 
  • Outstanding communication and organizational skills.
  • Service-oriented, welcoming, and proactive attitude. 
  • Strong attention to detail and adaptability.
  • Driven and enthusiastic, taking ownership of responsibilities.
  • Ability to conduct oneself in a professional manner, utilizing discretion and courtesy.
  • Excellent collaboration skills and a positive team player attitude.
  • Mature outlook on work ethics and responsibilities.
  • Intermediate level problem solving skills.
  • Ability to empathetically partner with a diverse group of personalities effectively and constructively.
