Key Responsibilities:
1.) Administrative Support
- Manage and maintain the CCO's complex calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize documents, presentations, and reports for internal and external meetings.
- Coordinate and schedule meetings for the CCO and Client Development and Sales team, including setting up conference rooms, virtual meeting platforms, and distributing agendas and materials.
- Process expense reports and manage invoices for the CCO and team as needed.
- Handle confidential information with the utmost discretion and professionalism.
2.) Communication and Customer Service
- Serve as a primary point of contact for internal and external stakeholders, screening and directing calls, emails, and inquiries with professionalism and efficiency.
- Exhibit strong interpersonal skills and a customer-centric approach when interacting with clients, partners, and colleagues.
- Draft, review, and edit correspondence, ensuring accuracy, clarity, and adherence to company standards.
- Facilitate smooth communication flow from the CCO and across the various divisions including the Management Team.
3.) Technical Proficiency
- Proficiency in Google Workspace (Docs, Sheets, Slides, Meet) and Gemini is essential.
- Experience with CRM software (e.g., Salesforce) for tracking client interactions and sales activities.
- Ability to quickly learn and adapt to new technologies and software applications.
4.) Project and Team Support
- Assist in the planning and execution of team events, client meetings, and commercial initiatives.
- Support the Client Development and Sales team with various administrative tasks, allowing them to focus on revenue-generating activities.
- Track key deadlines and deliverables, providing reminders and follow-up as necessary.
- Contribute to a positive and collaborative team environment.
Qualifications:
- Proven experience as an Executive Assistant supporting senior-level executives.
- Exceptional attention to detail and a high degree of accuracy in all tasks.
- Strong organizational and time management skills with the ability to prioritize effectively.
- Excellent written and verbal communication skills.
- Demonstrated ability to exercise sound judgment and maintain confidentiality.
- Proactive and resourceful with a strong problem-solving aptitude.
- Ability to work independently and as part of a team.
- Bachelor's degree preferred.
