Job Description

Arrowhead Game Studios is seeking a Licensing Coordinator to act as a crucial link between the studio, publisher Sony, and external licensing partners. This role involves coordinating licensing projects, managing assets, ensuring efficient communication, and tracking approvals. The ideal candidate will also develop and maintain licensing guidelines, support merchandising needs, and align licensing activities with production and marketing efforts, while building strong relationships and identifying new opportunities.

Must Have:
  • Act as the primary point of contact between the studio, Sony, and licensing partners for all licensing-related matters.
  • Liaise with external licensing partners to ensure alignment and clarity on expectations, timelines, and deliverables.
  • Filter inbound requests to and from Sony and distribute them to the relevant studio teams for approvals.
  • Oversee and coordinate the delivery of assets to licensing partners, ensuring timelines are met and specifications are followed.
  • Work with production to ensure assets are appropriately adapted and approved for licensed products.
  • Track approval processes, ensuring necessary feedback is communicated and deadlines are adhered to.
  • Develop, update, and maintain licensing guidelines for internal and external use.
  • Ensure all relevant documentation is accurately maintained, easily accessible, and shared with necessary stakeholders.
  • Create and maintain simple, effective processes for licensing project approvals.
  • Follow up weekly on the status of ongoing projects, providing updates to internal stakeholders, tracking progress, and addressing risks or delays proactively.
  • Collaborate with the studio’s office function to address merchandising needs.
  • Coordinate with the production team on game-related licensing activities to ensure consistency with the game’s design and narrative.
  • Work with the marketing team to align licensing and merchandise releases with promotional campaigns, ensuring cohesive messaging and branding.
  • Act as a bridge between development, marketing, and licensing teams to address product-specific requirements or limitations.
  • Build and maintain strong relationships with Sony and external licensing partners to ensure a high level of collaboration.

We are now looking for a Licencing Coordinator

The Licensing Coordinator serves as a vital link between our studio, our publisher Sony, and external licensing partners, ensuring seamless collaboration, efficient communication, and the successful execution of licensing projects. The ideal candidate is a highly organized professional with experience in licensing, excellent communication skills, and a robust network within the US market. Experience in business development and familiarity with Arrowhead Game Studios and the Helldivers IP are significant advantages.

Key Areas of Responsibility

Licensing Coordination & Asset Management

  • Act as the primary point of contact between the studio, Sony, and licensing partners for all licensing-related matters.
  • Liaise with external licensing partners to ensure alignment and clarity on expectations, timelines, and deliverables.
  • Filter inbound requests to and from Sony and distribute them to the relevant studio teams for approvals.
  • Oversee and coordinate the delivery of assets to licensing partners, ensuring timelines are met and specifications are followed.
  • Work with production to ensure assets are appropriately adapted and approved for licensed products.
  • Track approval processes, ensuring necessary feedback is communicated and deadlines are adhered to.

Process Management & Documentation

  • Develop, update, and maintain licensing guidelines for internal and external use.
  • Ensure all relevant documentation is accurately maintained, easily accessible, and shared with necessary stakeholders.
  • Create and maintain simple, effective processes for licensing project approvals.
  • Follow up weekly on the status of ongoing projects, providing updates to internal stakeholders, tracking progress, and addressing risks or delays proactively.

Merchandising & Studio Support

  • Collaborate with the studio’s office function to address merchandising needs, including:
  • Sourcing and prioritizing new merchandise and licensing initiatives.
  • Ensuring the studio receives samples of all created licensed products.
  • Establishing processes for staff to order additional copies of licensed products (at cost).

**Production, Marketing, & Brand Alignment

  • Coordinate with the production team on game-related licensing activities to ensure consistency with the game’s design and narrative.
  • Work with the marketing team to align licensing and merchandise releases with promotional campaigns, ensuring cohesive messaging and branding.
  • Act as a bridge between development, marketing, and licensing teams to address product-specific requirements or limitations.

Relationship Building & Strategic Growth

  • Build and maintain strong relationships with Sony and external licensing partners to ensure a high level of collaboration.

Identify and pursue opportunities for new licensing or merchandise initiatives that align with the studio's brand and goals.
