As an Office Coordinator in our Athens office, you will be central to our daily operations, ensuring the smooth functioning of the office and supporting business activities. Your responsibilities will include managing reception, coordinating corporate events, handling mail services, collaborating with the Facilities team and vendors, maintaining records, implementing administrative procedures, monitoring expenditures, managing vendor contracts, tracking office supplies, and assisting with medical kit distribution.
Must have:
  • Manage reception duties and provide company information

  • Collaborate with international Facilities team and vendors
  • Maintain files and records with effective filing systems
  • Implement and maintain office administrative systems
  • Monitor office expenditures and manage vendor contracts
  • Track office supply inventory and place orders
  • Assist in vendor relationship management
  • Organize and coordinate medical kit preparation and distribution
  • High school diploma or university degree
  • Relevant experience in administrative or office coordination roles
  • Strong computer skills with Microsoft Office proficiency
  • Excellent communication and organizational skills
  • Ability to multitask and manage responsibilities
  • Great attention to detail
  • Proactive approach and a can-do attitude
  • Service- and people-oriented mindset
  • Fluency in Business English (written and spoken)

Let’s start with the role

We are looking for an Office Coordinator for our Athens office - a key role at the heart of our daily operations. You will be responsible for ensuring smooth day-to-day functioning of the office while effectively supporting our business activities.

As an Office Coordinator you will:
  • Manage all reception duties, providing company information and directing requests;
  • Support the development, coordination, and implementation of corporate events;
  • Handle courier and postal services for employees;
  • Align and collaborate with the international Facilities team and relevant vendors;
  • Maintain files and records with effective filing systems;
  • Implement and maintain procedures/office administrative systems;
  • Monitor office expenditures and manage contracts with all external parties; 
  • Track office supply inventory and place orders as needed;
  • Assist in vendor relationship management;
  • Organize and coordinate the preparation, replenishment, and distribution of medical kits in collaboration with the company nurse. 

What you’ll bring:

  • High school diploma or university degree; 
  • Relevant experience in administrative or office coordination roles;
  • Strong computer skills, with  good knowledge of Microsoft Office;
  • Excellent communicational and organizational skills;
  • Ability to multitask and manage multiple responsibilities effectively;
  • Great attention to detail;
  • A can-do attitude with a proactive approach to get things done;
  • Service- and people-oriented mindset; 
  • Fluency in Business English, both written and spoken.
