Elsewhere Entertainment is seeking a highly organized and proactive Operation Specialist for its Malmö studio. This key role involves managing studio operations, supporting new hire onboarding, providing executive and administrative assistance, coordinating events, handling logistics and procurement, and overseeing food and beverage services. The specialist will ensure a smooth, efficient, and creative working environment as the studio expands, playing an essential part in supporting the team through diverse operational and administrative tasks.
Good To Have:
  • Previous experience in a games studio or creative industry environment.
  • Familiarity with travel booking platforms, expense tools, and procurement systems.
  • Swedish language skills are a plus, but not required.
Must Have:
  • Manage and maintain seating plans and coordinate internal team moves within the Malmö studio.
  • Oversee office furniture and equipment needs, ensuring a comfortable and productive workspace.
  • Collaborate on office and real estate matters, including coordination of maintenance, vendors, and office improvements.
  • Support the onboarding process for new team members, including workspace setup, equipment coordination, welcome kits, and studio tours.
  • Liaise with global counterparts to ensure consistent onboarding experience across studios.
  • Assist with travel arrangements, meeting scheduling, and expense reporting for studio leadership.
  • Take detailed notes during internal meetings and help ensure follow-ups are actioned.
  • Help plan and coordinate studio events and team-building activities.
  • Create and manage budgets related to studio events and internal operations.
  • Handle internal procurement-to-pay processes, including vendor coordination, purchasing, and tracking of studio supplies.
  • Manage sending and receiving goods at the Malmö studio.
  • Oversee all food and beverage needs in the studio in line with company policies.
  • Responsible for planning, purchasing, setup, and ongoing management of snacks, drinks, and catering for events or meetings.
  • Highly organized with excellent attention to detail.
  • A proactive problem-solver who enjoys making things run smoothly behind the scenes.
  • Strong communicator in both written and verbal formats (English is our working language).
  • Able to juggle multiple tasks and priorities in a dynamic, growing studio environment.
  • Comfortable working independently while also collaborating with team members across time zones.

We’re looking for a highly organized, proactive Operation Specialist to join our Malmö studio. Key Responsibilities:

  • Studio Operations:
