CFS Solutions is seeking a process-driven, detail-oriented Operations Manager to establish and oversee scalable support and operations systems and processes that will enable sustainable growth for the company. Reporting directly to the CEO, this role is pivotal in owning cross-functional workflows, managing internal tools (including CRM, order intake/management), and bringing structure to our support, compliance, and project management efforts. The ideal candidate will be an organizational builder—capable of translating strategic goals into tactical execution. This is a highly collaborative, hands-on role suited for someone who thrives in a fast-paced environment and has a strong bias toward structure, accountability, and cross-functional clarity.
Must have:
  • Design and implement structured support processes.
  • Serve as internal project manager for high-priority support requests.
  • Partner with Support and Customer Success teams for task triaging.
  • Own day-to-day operational workflows across departments.
  • Build and maintain CRM workflows for accuracy and consistency.
  • Collaborate with team leads to ensure tools support business needs.
  • Lead development and maintenance of regulatory and industry-specific compliance processes.
  • Serve as liaison for compliance topics intersecting operations and customer support.
  • Ensure operational processes align with compliance standards.
  • Stay informed on relevant banking regulations for operational readiness.
  • Proactively identify and mitigate operational risks related to regulatory standards.
  • Work with CEO to translate strategic goals into measurable outcomes.
  • Partner with Sales, Support, Engineering, and Customer Success for operational handoffs.
  • Support new hire onboarding by documenting processes and maintaining knowledge bases.
Good to have:
  • Exposure to regulatory or compliance-heavy environments, particularly in the financial sector
  • Direct experience with SOC compliance requirements and implementation
  • Experience working with or within banking or credit union environments

Position Summary

CFS Solutions is seeking a process-driven, detail-oriented Operations Manager to establish and oversee scalable support and operations systems and processes that will enable sustainable growth for the company. Reporting directly to the CEO, this role is pivotal in owning cross-functional workflows, managing internal tools (including CRM, order intake/management), and bringing structure to our support, compliance, and project management efforts.

The ideal candidate will be an organizational builder—capable of translating strategic goals into tactical execution. This individual will work closely with the CEO, support leadership, and sales teams to streamline how we manage internal requests, customer onboarding, compliance workflows, and data entry into systems.

This is a highly collaborative, hands-on role suited for someone who thrives in a fast-paced environment and has a strong bias toward structure, accountability, and cross-functional clarity.

Key Responsibilities

Support Process Organization & Project Management

  • Design and implement structured support processes to improve team efficiency and reduce duplication of effort.
  • Serve as the internal project manager for high-priority support requests—tracking progress, aligning stakeholders, and escalating blockers.
  • Partner with the Support and Customer Success teams in triaging inbound tasks, assigning ownership, and closing feedback loops.

Operational Infrastructure & CRM Management

  • Own day-to-day operational workflows across departments, with a focus on support and project intake processes.
  • Build out and maintain CRM workflows to ensure accuracy, consistency, and ease of use across teams.
  • Collaborate with team leads (e.g., Engineering, Support, Sales, Customer Success) to ensure tools support evolving business needs.

Compliance & Industry-Specific Risk Management

  • Lead the development and maintenance of regulatory and industry-specific compliance processes (e.g., documentation, audits, reporting).
  • Serve as liaison for compliance topics that intersect with operations and customer support.
  • Ensure operational processes align with compliance standards, including maintaining required documentation, facilitating audits, and enforcing security controls.
  • Stay informed on relevant banking regulations to ensure operational readiness and compliance across applicable jurisdictions.
  • Proactively identify and mitigate operational risks related to regulatory standards and internal controls.

Cross-Functional Collaboration

  • Work directly with the CEO to translate strategic goals into repeatable, measurable operational outcomes.
  • Partner with Sales, Support, Engineering, and Customer Success to bring clarity and accountability to operational handoffs.
  • Support new hire onboarding, particularly in Operations and Support, by documenting processes and maintaining internal knowledge bases.

Requirements

  • 5+ years in operations, project management, or business systems in a B2B, SaaS, or tech-enabled services company.
  • Strong organizational and project management skills (scrum preferred)
  • Excellent written and verbal communication skills; capable of influencing up and across the org.
  • Proficiency with internal tooling, CRM platforms (e.g., Salesforce, HubSpot) and virtual collaboration tools
  • Exposure to regulatory or compliance-heavy environments, particularly in the financial sector, is a strong plus.
  • Direct experience with SOC compliance requirements and implementation is strongly preferred.
  • Experience working with or within banking or credit union environments is a plus.
