Keywords Studios seeks a detail-oriented Payments Specialist to join its finance team. Responsibilities include processing various payments (ACH, wire transfers), verifying payment requests, maintaining accurate records, troubleshooting discrepancies, managing intercompany payments, performing bank reconciliations, ensuring compliance, identifying process improvements, and collaborating with stakeholders. The role requires experience in payment processing and bank reconciliation, proficiency in accounting software (Oracle NetSuite), and strong analytical and problem-solving skills. The Shared Service Center manages 40+ entities in EMEA and is expanding to the USA and Canada.

Role Overview

Keywords Studios is seeking a meticulous and detail-oriented Payment Specialist to join our growing finance team. This role will be responsible for ensuring accurate and timely processing of various payment transactions, maintaining strong relationships with vendors, and contributing to the efficiency of our financial operations. Our Shared Service Center is expanding its role within the company, at today we already successfully manage 40 entities in EMEA and we are now onboarding USA and Canada. The team is growing accordingly, and we are now a team of almost 40 motivated accountants. Join us, apply today.

Responsibilities

Payment Processing:

  • Process and execute various types of payments, including ACH, wire transfers.
  • Verify and validate payment requests for accuracy and completeness.
  • Maintain accurate records of all payment transactions.
  • Troubleshoot payment discrepancies and resolve payment-related issues.
  • Manage complex payment for InterCompany transactions.

Bank Reconciliation:

  • Perform daily and monthly bank reconciliations to ensure accuracy and completeness of financial records.
  • Identify and resolve discrepancies between bank statements and company records.
  • Prepare and maintain reconciliation reports.
  • Investigate and resolve outstanding items on bank reconciliations.

Compliance:

  • Ensure compliance with company policies and procedures related to payment processing and financial reporting.
  • Maintain up-to-date knowledge of relevant regulations and industry best practices for Europe and North America.
  • Assist in audits as needed.

System and Process Improvement:

  • Identify and recommend improvements to payment and reconciliation processes.
  • Assist in the implementation of new payment systems or software.
  • Document and maintain standard operating procedures (SOPs) for payment and reconciliation processes.

Communication and Collaboration:

  • Communicate effectively with internal and external stakeholders, including vendors, banks, and employees.
  • Collaborate with other departments to ensure smooth payment processing and financial reporting.
  • Respond to inquiries regarding payment and reconciliation matters.

Requirements

Qualifications

  • Bachelor's degree in Accounting, Finance, or a related field (or equivalent experience).
  • 3-5 years of experience in payment processing and bank reconciliation.
  • English language skills, other languages are beneficial but not essential
  • Strong understanding of payment systems, including ACH, wire transfers, and credit card processing.
  • Proficiency in accounting software and ERP systems (Oracle NetSuite).
  • Advanced proficiency in Microsoft Excel (e.g., xLOOKUP, pivot tables).
  • Excellent analytical and problem-solving skills.
  • Strong attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Excellent communication and interpersonal skills.
  • Experience with fraud prevention is a plus.
