Job Description

The Post-Production Coordinator is responsible for specific aspects of post-production processes and management, supporting the Senior Post-Production Manager. This role involves coordinating workflows, ensuring deadlines are met for both scripted and non-scripted content, and managing communication with various departments and external vendors. The coordinator also handles operational aspects, including personnel onboarding, scheduling, and generating comprehensive weekly and wrap-up reports. The position is based in Bogotá and reports directly to the Senior Post-Production Manager.
Must have:
  • Supervises all raw dailies workflow and distributes them to production and client.
  • Monitors all daily postproduction tasks to make sure all deadlines are met.
  • Communicates and follows up with producers, directors, art department, or Business Affairs.
  • Previews in real time all clips and rough cuts for internal and client review.
  • Prepares and delivers all work sessions and media boxes for review.
  • Keeps track of those responsible for sending all cuts' notes and ensures timely delivery.
  • Coordinates production and delivery of Audio, Video, Color, Graphics, Quality Control, Foley, and Visual Effects elements.
  • Consolidates all internal and external corrections and distributes them for correction.
  • Works with external post house coordinators to ensure smooth workflow and requirements are met.
  • Requests and follows through pending material from libraries to Asset Management.
  • Supervises the “Project Postproduction Coordinator” hired per project.
  • Acts as point of contact with all departments involved in final quality assurance check.
  • Responds to issues, provides solutions, or executes plans as required by Senior Post Manager.
  • Follows up on all approvals, rejections, and pending masters.
  • Contacts postproduction personnel, explains projects, tasks, and checks availability.
  • Fills out hiring formats for P&O and Operations.
  • Ensures every postproduction team member has required elements (equipment, software, access).
  • Assigns edit rooms and work shifts.
  • Generates weekly schedules of entries and exits of postproduction personnel.
  • Creates monthly reports to P&O with contractual start and end dates.
  • Communicates to P&O, IT, Finance, and Operations when team members start or end contracts.
  • Follows up on delivery and collection of badges, equipment, and other elements.
  • Generates weekly reports with all updates of the postproduction workflow.
  • Maintains and updates the “postproduction color box” with status of each process.
  • Generates a wrap report when a project is finalized.
  • Creates weekly counter-reports requested by Asset Management, vendors, and clients.

General Summary:

Post - Production Coordinator, is responsible for specific aspects of post-production processes and management and supports the Senior Post – Production Manager. This position is based in Bogotá and reports to the Senior Post - Production Manager.

Responsibilities:

60% Postproduction workflow coordination depending on the business model

  • Supervises all raw dailies workflow and distributes them to production and client so they can revise and approve before editing stage.
  • Monitors all daily postproduction tasks to make sure all deadlines are met (Scripted and Non-Scripted)
  • Communicates and follows up with producers, directors, art department and or Business Affairs, questions, clearances, or requirements that postproduction needs.
  • Previews in real time all the clips and rough cuts received for internal and client review, so these meet SPT and client deliverable requirements.
  • Prepares and delivers all work sessions and media boxes from the for internal and client review.
  • Keeps track of those responsible for sending all the cuts´ notes and ensures they deliver on time.
  • Coordinates the production and delivery of all Audio, Video, Color, Graphics, Quality Control, Foley, and Visual Effects team elements within the editorial department and with external vendors.
  • Consolidates all internal and external corrections and distributes responsible for correcting or, in the case the postproduction is outsourced, send to them to the external postproduction house.
  • Works hand in hand with the postproduction coordinators of external post houses when the projects are outsourced, ensuring a smooth workflow, that Sony´s requirements are met, and that timelines are fulfilled.
  • Requests and follows thru pending material from libraries (Getty, Shutterstock, etc…) to Asset Management
  • Supervises the “Project Postproduction Coordinator” hired per project.
  • Point of contact with all departments involved in the final quality assurance check of all video and audio asset.
  • Responds to issues as they arise and depending on the complexity of the matter, provides solutions or executes the plan that the Senior Post Manager requires.
  • Follows up on all approvals, rejections and pending masters for

20% Postproduction operational coordination of people and suites.

  • Before the beginning of each project, contacts the postproduction personal indicated by the Senior Postproduction Manager. Explains them the project, tasks and check their availability. If available, proceeds to fill out the hiring formats that P&O and Operations requires.
  • Ensures that every member of the postproduction team has all required elements (equipment, software, Sony´s username, Sony´s mail, Ci Media Cloud username and access, badges).
  • Assigns edit rooms and work shifts
  • Generates weekly schedules of entries and exits of postproduction personnel to the building and postproduction area and sends them to Operations.
  • Creates monthly reports to P&O with contractual start and end dates of the Post team positions per project.
  • Communicates to P&O, IT, Finance and Operations when each member of the postproduction team, starts or end their contracts and follows up the delivery and collection of their badges, equipment, and other elements.

20% Creation & maintenance of weekly postproduction reports

  • Generates weekly reports with all updates of the postproduction workflow.
  • Maintains and updates the “postproduction color box” where the status of each postproduction process is graphically displayed.
  • When a project is finalized, generates a wrap report.
  • Creates weekly counter-reports requested by Asset Management, vendors, and clients.

Knowledge/Skills/Abilities:

  • Ability to work independently and as part of a team.
  • Self motivated
  • Strong communication and interpersonal skills.
  • Must possess solid organizational skills.
  • Excellent verbal and written communication skills.
  • Knowledge of using industry standard editing software.
  • Knowledge of digital audio and video file formats.
  • Proficient in PPT and Excel.
  • Proficient in English.

Experience:

+ 5 years of TV Postproduction Department.

Education:

Bachelor’s degree or above in Mass Communication, Media Production, Journalism or related industry careers.
