The Publishing Assistant supports a portfolio of inclusive Discover journals, focusing on publication integrity, review speed, and author service. This role involves supporting publishing team management, strategic development, and journal success by liaising with internal staff, external editors, and the scientific community. It is a wide-ranging role essential for smooth journal operations, offering broad exposure to academic publishing. Ideal candidates have a degree, strong communication, organizational skills, and an interest in scholarly publishing.
Must have:
  • Manage logistics and prepare materials for team reports, conferences, and board meetings
  • Provide administrative oversight of MS Teams channel / OneDrive files
  • Support journal owners in contract oversight and payments
  • Liaise with internal and external stakeholders for specific projects
  • Support Executive Publisher with new journal launches
  • Support Publishers and Editors in promoting journals and articles
  • Develop strong working relationships with colleagues across departments
  • Coordinate cross-team projects
  • Manage ongoing and ad hoc editorial and publishing projects
  • Assist with editor board recruitment and onboarding
  • Follow up on commissioning invitations and tracking
  • Compile reporting on journal metrics and performance
  • Research key contacts for journal development
  • Perform integrity checking of editorial boards
  • Educated to degree level (or equivalent)
  • Competence with data analysis and creating reporting
  • Proficiency in Microsoft Office and Google suite, and database management
  • Ability to work within a team and meet daily deadlines
  • Strong verbal and written communication skills in English
  • Exceptional organizational and interpersonal skills
  • Ability to prioritize in a high-volume environment and meet deadlines
  • Ability to work on own initiative as well as part of a team
  • Ability to demonstrate good publishing business awareness and learn quickly
  • Keen proofreading skills and sharp eye for detail
  • Resourceful and proactive in dealing with problems and queries
  • Flexibility and ability to work in a multicultural environment
  • Legal authorization to work in Singapore and ability to commute to the office

About the Role

We are seeking a Publishing Assistant on our Discover journals to support a portfolio of inclusive journals focused on integrity of our publication process, speed of review, and excellent author service. Reporting to an Executive Publisher, you will be responsible for supporting our publishing team management, strategic development and success of the individual journals, liaising with internal staff, external journal editors, and the scientific community.

The role of Publishing Assistant is wide-ranging and essential to the smooth running of the journal portfolios. The Publishing Assistant will work across the team supporting journal development activities and in doing so will gain broad exposure to all aspects of the academic publishing industry. Ideal candidates will be educated to a degree level, preferably with a scientific background, or have equivalent experience. Excellent verbal and written communication in English, strong organizational skills, and the ability to balance multiple priorities are vital for this role. It is not essential to have previous publishing experience, but an interest in scholarly and research publishing is key.

Role Responsibilities:

  • Manage the logistics and prepare materials for team reports, conferences, and board meetings, including assistance with presentations
  • Administrative oversight of relevant MS Teams channel / OneDrive files
  • Support journal owners in contract oversight and payments
  • Liaise with key internal and external stakeholders across Springer Nature as needed within the scope of specific projects
  • Support the Executive Publisher with projects relating to development of new launches
  • Support the Publishers and Editors in promoting journals and articles, managing activities such as inviting blog posts, social media posts, and managing journal communities/families of journals
  • Develop strong working relationships with colleagues across all departments to coordinate ongoing production, editorial office, transfers team, marketing, conferences, and other internal department deadlines
  • Cross-team project coordination and collaboration (as needed)

Manage ongoing and ad hoc editorial and publishing projects under direction of the Associate Publishers, Associate Editors, and Executive Publishers. These include examples such as:

  • supplemental assistance with editor board recruitment and onboarding not provided by other teams
  • following up on commissioning invitations and tracking
  • compiling reporting on journal metrics and performance
  • researching key contacts for journal development
  • integrity checking of editorial boards
  • other projects as assigned

Experience, Skills & Qualifications:

  • Educated to degree level (or equivalent)
  • Experience working in a fast-paced office environment is preferred
  • Competence with data analysis and creating reporting
  • Microsoft Office (MS Word, Excel, PowerPoint) and Google (Google Docs, Google Sheets) suite and database management experience
  • Working within a team and meeting daily deadlines
  • Strong verbal and written communication skills in English
  • Exceptional organizational skills and interpersonal skills
  • Ability to prioritize in a high-volume environment, meet deadlines and work on your own initiative as well as part of a team
  • Ability to demonstrate good publishing business awareness and the ability to learn quickly

This position is based in our Singapore office. Candidates must have legal authorization to work in Singapore and be able to commute to the office.
