Zones LLC is seeking a Senior Bid Specialist to join their Win Center team. This role involves managing bids across multiple business sectors and customer vendor registrations, requiring engagement with various internal stakeholders like Pricing, Technology, and Legal to develop concise bid and proposal responses. The ideal candidate will possess strong project management skills, attention to detail, and experience in IT sector bids, along with a proven ability to collaborate with diverse stakeholders. The position reports to the Manager of the Bids and VR team and is based in the Zones Pakistan office. Key responsibilities include leading complex bid efforts, performing opportunity qualification, risk analysis, and win strategy formulation, while also guiding junior bid specialists. The specialist will ensure compliance with RFP/RFI/REI/RFQ requirements, drive improvements in bid processes, and support proposal governance reviews.
Must have:
  • Fluent in English (written and verbal)
  • 3+ years of experience in proposal/bid management
  • Understanding of IT sector products and services
  • Proficient with MS Office, Adobe Acrobat
  • Strong project management skills
  • Ability to work under pressure
Good to have:
  • Experience in IT or multinational sectors

Position Overview: 

Zones is seeking a Senior Bid Specialist to join its Win Center team. As a pivotal Bids team member, you will manage bids in scope from multiple business sectors, customer vendor registrations, and engage multiple stakeholders from within the company (e.g. Pricing, Technology, Legal) to develop concise bids/proposals responses. The ideal candidate will have strong project management skills with attention to detail, a background in IT-sector bids is a plus, and proven success partnering with distinct stakeholders. This position will report to the Manager, Bids and VR team. It is based in the Zones Pakistan office. 

  

What you’ll do as the Senior Bid Specialist: 

Employees employed in the role of Senior Bid Specialist shall be required to apply their independent mind and demonstrate intellectual abilities in their decision-making.

  • Lead complex and high-value bid and proposal efforts across multiple verticals and regions.
  • Perform opportunity qualification, risk analysis, and win strategy formulation.
  • Guide and mentor junior bid specialists, ensuring quality, consistency, and adherence to standards.
  • Engage with cross-functional teams (Sales, Pricing, Technology, Legal, Operations) to align strategy, gather inputs, and finalize responses.
  • Oversee compliance with all RFP/RFI/REI/RFQ requirements, building detailed compliance matrices and proposal outlines.
  • Drive continuous improvement of bid templates, knowledge libraries, and best-practice content.
  • Support proposal governance reviews and ensure senior stakeholder buy-in.
  • Ability to understand complex technical and U.S. legal requirements
  • Ensure all submissions are high quality, persuasive, timely, and brand-aligned.
  • Conduct post-bid reviews and win/loss analyses to improve future submissions.
  • Contribute to training programs, onboarding of new team members, and knowledge sharing across the Bids team.
  • Complete initial reviews which highlight the questions from Subject Matter Experts along with the important and pricing information.
  • Gather information by interviewing SMEs and write various proposal sections, including executive summaries, past performance/qualification summaries and resumes.
  • Assists in facilitating team reviews of work and revises product as required
  • Edits text to ensure that bid is error-free, uniform in tone and style, and adheres to company and client stipulations
  • Works with graphics specialist to create document visuals
  • Compiles and ships proposal in timely manner
  • Other duties as assigned.
  • Be quick on their feet and assertive yet tactful to produce a successful submission. Time management, efficiency, the ability to meet deadlines and work with minimal supervision are all important.
  • You will have to cope with a substantial amount of responsibility, remain calm under sometimes severe pressure, and be able to read and interpret instructions carefully.
  • Contributing to the ongoing development of processes, tools, content and templates promoting new initiatives
  • Strong English written communication skills are essential.

What you will bring to the team: 

  • Fluent in English (written and verbal) with excellent business writing skills.
  • 3+ years of experience in proposal or bid management (preferably in IT or multinational sectors).
  • Solid understanding of IT sector products, services, and terminology.
  • Familiarity with U.S. government/public sector RFP compliance standards is a plus.
  • Proficient with MS Office, Adobe Acrobat, and content management tools (SharePoint, CRM, etc.).
  • Ability to work independently, strategically, and diplomatically.
  • Strong project management and stakeholder coordination abilities.
  • Ability to work in high-pressure environments and ability to manage multiple bids simultaneously.
