The Senior Facilities Coordinator will assist the Facilities Manager and Operations Manager in ensuring the smooth operation of ILM’s Studio and facilities. The role involves managing maintenance requests, HVAC/BMS requirements, contractor relationships, First Aid and Fire Warden training, reporting, and procedural WHS changes. The coordinator will also build and manage a proactive maintenance program, oversee studio aesthetics, manage car parking, and assist with staff events. The ideal candidate is an enthusiastic team player with exceptional organizational skills, capable of managing time effectively and prioritizing tasks in a fast-paced environment.

Job Details

We are looking for a Senior Facilities Coordinator who will assist the Facilities Manager and Operations Manager with the overall smooth running of ILM’s Studio and facilities 

We are looking for an enthusiastic individual with exceptional organisational skills, who is a Team player and strives to maximize the team/department performance.

On any given day you will work closely with, Technology Team, Facilities Team, Talent Teams, HR Team and the Finance Team.

  • Facilitates maintenance requests from the studio including ergonomic requirements.

  • Manages all HVAC/ BMS  requirements

  • Manages relationships with contractors and suppliers including onboarding new vendors

  • Manages First Aid and Fire Wardens ensuring training is up to date

  • Assist Facilities Manager with reporting 

  • Assist Operations Manager with implementing and driving procedural WHS changes 

  • Build and manage a proactive maintenance program for the studio

  • Looks after aesthetics of the studio, working with Facilities Manager and Operations Manager

  • Manages ILM car parking for visitors and staff along with Disney Studios Australia Security team

  • Coverage of Facilities coordinators on reception desk and with all Facilities tasks when required

  • Coverage of early and late shift when needed

  • Assists with staff events, screenings along with team

  • Assists mentoring coordinator and runner roles

  • Ability to manage time effectively and continually re-prioritise tasks
