Job Description

The Workplace Coordinator provides first-class visitor and customer experience at the D&B Frankfurt office. This front-line role involves managing the reception desk and performing various clerical, administrative, and specialist duties for the Workplace team. The coordinator is responsible for creating a welcoming and enjoyable experience for all guests, promoting a positive and exemplary customer impression, and supporting the overall workplace environment.
Must have:
  • Manage front of house and reception services
  • Welcome visitors professionally, ensuring needs are met
  • Coordinate onsite customer and internal events
  • Organize post, deliveries, and parcel collection/sending
  • Coordinate catering, mail, and 3rd party office services
  • Order stationery and consumables, maintain stock
  • Act as first point of contact for site safety and security
  • Process invoices and set up new suppliers
  • Supervise maintenance, cleaning, contractors, and landlord
  • Manage and prioritize daily workplace tasks and queries
  • Provide clear office communication to site and leadership
  • Serve as Facilities Risk Assessor, Fire Warden, First Aider
  • Support Workplace Team and Senior Manager on tasks
  • Understand ESG objectives, ISO Standards, and support environmental events
  • Proven experience in a similar workplace environment
  • Excellent customer service and service-oriented mindset
  • Strong interpersonal and communication skills
  • Ability to perform administrative functions independently
  • Proficiency in Microsoft Office skills (O365)
  • Excellent planning and organizational abilities
  • High proficiency in written and verbal English
  • High proficiency in written and verbal German
  • Punctual with excellent time management skills

About the role

To provide first class and exceptional visitor and customer experience to all who visit the D&B Frankfurt office. This role includes a variety of front-line services, including but not limited management of the reception desk and the provision of a wide range of clerical, general administrative and specialist duties in support of the Workplace team. In this role you will be providing D&B visitors and customers with their first and lasting impression and will be responsible for promoting a positive and exemplary customer experience and it is your responsibility to make our guests experience as welcoming and enjoyable as possible.

Responsibilities:

  • General management of front of house and reception services
  • To welcome and meet all incoming visitors at reception area in a professional and friendly manner, ensuring all visitor needs are met
  • Coordinate onsite customer and internal events; liaising on all requirements including arranging meeting room layouts and catering assistance
  • Organize the end-to-end process of post, directing all on site deliveries and post for internal distribution, assisting with parcel collection and sending
  • Coordinating catering, incoming & outgoing mail, including maintenance of the team mailbox, any other 3rd party office services, stock control as required
  • Order stationery and consumables for the office and ensure areas are stocked and adequately and neatly kept and maintained
  • Site Safety Security – championing site rules and environment; being the first point of contact for all safety and security enquiries (including keys, access badge control & health & safety matters), inductions, access card & key deployment
  • Invoice payment and setting up new suppliers on Internal procurement system, understanding and adhering to D&B supplier onboarding process
  • Supervise and coordinate maintenance and cleaning works, contractors and landlord,
  • Managing and prioritizing tasks and queries as part of the day-to-day role, putting in place best practices in workplace management
  • Office communication - ensure that clear communication is provided to the site and leadership team in workplace matters
  • Hold the roles of Facilities Risk Assessor, Fire warden and First Aider and coordinate the evacuation process with the other facilities team members
  • Work closely with the Workplace Team, Workplace CE Senior Manager and assist in ad-hoc and planned tasks as requested
  • Sustainability: Understand ESG company objectives, ISO Standards and ensure record keeping of data collection and records, support the organizing local environmental events and initiatives at office

  • Strong administration and Microsoft office skills (O365)
  • Excellent planning and organizational skills, which includes a high level of written and verbal communication skills in both English and German
  • Punctual and excellent time management.
  • Observe and voice of ‘doing the right thing’ to always follow site rules and regulations.
