Matific is a leading global EdTech provider. We are seeking a highly motivated and detail-oriented Administrative Assistant to support our finance and operations teams in a part-time capacity. This role involves overseeing office maintenance, managing IT assets, maintaining supplies, organizing events, processing supplier orders and payments, issuing invoices, responding to customer inquiries, and following up on outstanding payments. Must have:
  • Oversee office maintenance and ensure a clean, functional, and well-equipped working environment.
  • Manage computer equipment and IT-related assets.
  • Source laptops and accessories for new employees.
  • Maintain IT inventory records.
  • Maintain office supplies and coordinate food deliveries for meetings and events.
  • Organize internal team events and provide day-to-day administrative support across departments.
  • Efficiently process supplier orders and payments, ensuring accuracy and timeliness.
  • Issue invoices, deposit checks, and liaise with the finance team for correct recording.
  • Respond to customer inquiries related to invoices professionally.
  • Follow up with customers on outstanding payments and maintain accurate collections records.
  • Work part-time, 3 days per week.
  • Maintain flexibility in working hours and days.
  • Work minimum 2 days in-office.

THE ROLE

We are seeking a highly motivated and detail-oriented individual to support our finance and operations teams in a part-time capacity (with at least 2 days in the office). This role is ideal for someone proactive, organized, and capable of managing both administrative and financial tasks. This is an exciting opportunity to contribute to a fast-paced, mission-driven environment where your work will directly support the company’s continued success.

KEY RESPONSIBILITIES

  • Oversee office maintenance and ensure a clean, functional, and well-equipped working environment.
  • Manage computer equipment and IT-related assets, including sourcing laptops and accessories for new employees and maintaining inventory records.
  • Maintain office supplies and coordinate food deliveries for meetings and events.
  • Organize internal team events and provide day-to-day administrative support across departments.
  • Efficiently process supplier orders and payments, ensuring accuracy and timeliness
  • Issue invoices, deposit checks, and liaise with the finance team to ensure correct recording in systems.
  • Respond to customer inquiries related to invoices, ensuring timely, professional, and accurate communication.
  • Follow up with customers on outstanding payments and maintain accurate collections records.

Requirements

  • Part-time availability (3 days per week with flexibility in both working hours and days; minimum 2 days in-office)
  • Fluent English (mandatory), with excellent verbal and written communication skills
  • High school diploma or higher
  • Prior experience in an administrative, finance, or operations support role
  • High attention to detail, strong organizational skills, and ability to work independently
  • A collaborative team player with a positive, solutions-focused attitude
