Job Description

The Administrative Specialist ensures the smooth operation of the office, managing equipment, supplies, and maintaining order. Key duties include processing SAP requests for purchases, handling phone calls, arranging business trips, and managing documentation. The role also involves coordinating events, ensuring office security, and preparing administrative reports, while adhering to business ethics and safety regulations.
Must have:
  • Control and ensure smooth office functioning, including equipment maintenance and order.
  • Place SAP requests for stationery, household materials, equipment, and furniture.
  • Answer phone calls.
  • Arrange business trips (tickets, hotel, transfer).
  • Perform copying and duplicating work.
  • Support, coordinate, and prepare event agendas.
  • Maintain office records, register documentation, and ensure document safety.
  • Send and receive documents to/from regions.
  • Provide technical support for office security (smart cards, keys, alarm).
  • Prepare reporting documentation for administrative functions.
  • Adhere to business ethics and maintain polite communication.
  • Comply with safety, labor protection, and fire safety rules.
  • Perform other assignments from the direct supervisor.

General responsibilities:

  • Control and ensure the smooth functioning of the office, including the technical condition of office equipment and other equipment, timely and high-quality maintenance of order in the office;
  • Placing applications in the SAP system and timely purchase of stationery, necessary household materials, equipment and inventory; purchase of furniture.
  • Answering phone calls;
  • Arranging business trips (ticket purchase, hotel booking, transfer organization)
  • Performing copying and duplicating work;
  • Support, coordination, preparation of event agendas;
  • Maintaining office records, registering incoming and outgoing documentation, ensuring the safety of all incoming documentation. Systematization and classification of documents and information, bringing them to direct executors;
  • Sending and receiving documents to/from regions;
  • Providing technical support for office security (smart cards, keys, alarm systems, etc.);
  • Preparation of reporting documentation within administrative functions;
  • Adherence to business ethics, maintaining a polite and friendly communication style with colleagues and clients.
  • Comply with safety, labor protection, fire safety rules
  • Perform other assignments of the direct supervisor within their job function.

  • Experienced PC user
  • Knowledge of computer programs (Word, Excel, PowerPoint, Access, Paint)
