Job Description

We are looking for a dynamic and experienced professional to lead our Corporate Services function across Europe. This role will be responsible for overseeing the operational excellence and consistency of our office management across 13 European locations. As the Lead, you will manage and support 9 Office Managers, drive operational standards, and ensure smooth, safe, and efficient workplace operations aligned with the company’s goals and culture. You will focus on streamlining operations, harmonising processes, and identifying cost efficiencies without compromising employee experience or operational effectiveness.
Must have:
  • Manage and support 13 European offices and 9 Office Managers.
  • Drive a culture of accountability, ownership, and continuous improvement.
  • Foster collaboration and best practice sharing across the region.
  • Follow established processes, procedures and documentation.
  • Monitor service quality through clear KPIs, operational dashboards, and feedback loops.
  • Lead regional projects (e.g., office move, sustainability initiatives, business continuity improvements).
  • Strong understanding of the real estate market and best practices and trends across EMEA region.
  • Oversee office administration, maintenance, facilities, and vendor relationships.
  • Manage corporate real estate operations including end to end lease management, strategic oversight of office moves, workplace build outs, and long-term space planning.
  • Ensure effective coordination with IT teams for local support and issue resolution.
  • Review and challenge operational expenses; identify cost-saving opportunities.
  • Lead vendor evaluations and harmonize contracts.
  • Partner with finance to monitor office-related budgets.
  • Ensure all offices are compliant with local and corporate Health & Safety regulations.
  • Serve as the regional point of contact for business continuity plans, Health & Safety escalations, audits, and preventive measures.
  • Promote a strong safety culture through training, awareness campaigns, and regular assessments.
  • Partner with Office Head, HR, IT, Legal, and Finance to deliver seamless office operations.
  • Function as the primary contact in Europe for the Global Head of Corporate Services.
  • Share best practices and align local teams with global corporate services strategy.
  • 5–10+ years in office/facilities management across multiple international sites.
  • Proven track record in cost optimization, contract management, and service standardization.
  • Strong knowledge of Health & Safety compliance in the workplace. EU-wide understanding is necessary.
  • Experience in managing remote teams.
  • Display adaptability in schedule to accommodate deadline-driven tasks or priorities.
  • Operational mindset with strong analytical and budget control capabilities.
  • Structured, process-driven, and solutions-oriented.
  • Excellent stakeholder management and communication skills.
  • Cross-cultural awareness and flexibility to work across diverse European settings.

About the Role

You will focus on streamlining operations, harmonising processes, and identifying cost efficiencies without compromising employee experience or operational effectiveness.

Key Responsibilities

Leadership & People Management

  • Manage and support 13 European offices and 9 Office Managers, ensuring consistent quality, performance, and aligning with company standards and values.
  • Drive a culture of accountability, ownership, and continuous improvement among Office Managers.
  • Foster collaboration and best practice sharing across the region.

Process Standardization & Operational Excellence

  • Follow established processes, procedures and documentation as well as identifying and enhancing these across offices.
  • Monitor service quality through clear KPIs, operational dashboards, and feedback loops.
  • Lead regional projects (e.g., office move, sustainability initiatives, business continuity improvements).
  • Strong understanding of the real estate market and best practices and trends across EMEA region.

Operational Oversight

  • Oversee office administration, maintenance, facilities, and vendor relationships across offices.
  • Manage corporate real estate operations including end to end lease management, strategic oversight of office moves, workplace build outs, and long-term space planning, aligning space strategy with business needs.
  • Ensure effective coordination with IT teams for local support and issue resolution.

Cost Optimization & Vendor Management

  • Review and challenge operational expenses across locations; identify cost-saving opportunities (e.g., renegotiation of contracts, consolidation of services, energy savings).
  • Lead vendor evaluations and harmonize contracts, when possible, across the region.
  • Partner with finance to monitor office-related budgets and ensure efficient cost allocation.

Health, Safety, Risk & Compliance

  • Ensure all offices are compliant with local and corporate Health & Safety regulations.
  • Serve as the regional point of contact for business continuity plans, Health & Safety escalations, audits, and preventive measures.
  • Promote a strong safety culture through training, awareness campaigns, and regular assessments.

Cross-functional Collaboration

  • Partner with Office Head, HR, IT, Legal, and Finance to deliver seamless office operations.
  • Function as the primary contact in Europe for the Global Head of Corporate Services.
  • Share best practices and align local teams with global corporate services strategy.

Experience & Background

  • 5–10+ years in office/facilities management across multiple international sites.
  • Proven track record in cost optimization, contract management, and service standardization.
  • Strong knowledge of Health & Safety compliance in the workplace. EU-wide understanding is necessary.
  • Experience in managing remote teams.

Skills & Competencies

  • Advanced skills in Microsoft Word, Excel, PowerPoint, Teams, and Outlook.
  • Demonstrated experience using ticketing/service management platforms (ServiceNow) and collaboration tools such as ServiceNow and SharePoint.
  • Display adaptability in schedule to accommodate deadline-driven tasks or priorities.
  • Operational mindset with strong analytical and budget control capabilities.
  • Structured, process-driven, and solutions-oriented.
  • Excellent stakeholder management and communication skills.
  • Cross-cultural awareness and flexibility to work across diverse European settings.
  • Fluent in English, any additional European languages are a plus.
