Job Description & Summary
The Events unit, within the PwC Marketing team, is responsible for organizing all Sales & Marketing client events taking place in Paris and some regional events. Reporting to the Events Manager, and in liaison with the relevant teams and marketing relays, you will notably organize Conferences and thematic breakfasts (from 20 to 1000 people - 2 to 3 events per week depending on the period).
Across 3 types of formats:
Management of remote events organized throughout France. Provide the necessary assistance for setting up a web conference.
Management of hybrid events. Provide the necessary assistance for setting up a hybrid web conference.
Management of physical conferences. Provide all necessary assistance for upstream organization: venue search, accommodation and evenings, liaison with all Parisian service providers, presence throughout the seminar.
What you can expect from us
For each event, your main missions will be:
- Setting up the logistics related to the event:
- Creating the invitation via a specific emailing invitation management tool
- Coordinating slides with speakers
- Managing registrations and the follow-up process
- Managing the relationship with the venue and various service providers
- Assisting with the event feedback
For physical events:
- Venue search and participation on D-day
- Updating the event calendar and Intranet site + backup on content updates for the website, social networks
- Monitoring and regular updating of competitor events
- Using internal tools: Coupa (order tracking for invoicing), Eloqua (firm tool for sending campaigns), Splash (firm tool for creating invitations). ASANA (project management tool)
- Promoting events through available media tools
Event Technologies Dimension
As part of your missions, you will also be required to:
- Actively monitor technological innovations applicable to events (management platforms, interactive tools, immersive solutions, etc.)
- Collaborate with technical teams (IT, Tech Lab, specialized providers)
- Participate in the technical design of events and draft specifications for providers (sound, light, video capture, networks)
- Exploit data from event tools (Eloqua, Splash, etc.) to analyze engagement, satisfaction, and event impact, and propose areas for improvement
- Propose and implement innovative technical solutions to optimize event logistics (automation of reminders, content integration, etc.)
CSR, Inclusion and Diversity Dimension
As part of your missions, you will also be required to:
- Integrate the company's CSR commitments into the design, organization, and monitoring of events (reduction of carbon footprint, responsible waste management, selection of committed providers, etc.)
- Ensure the accessibility and inclusivity of all events, regardless of their format (physical, hybrid, digital)
- Promote diversity and inclusion in the selection of speakers, providers, and participants (parity, diversity of profiles, inclusion of people with disabilities, etc.)
- Participate in the implementation of indicators and reporting to measure the social and environmental impact of events (carbon footprint, parity score, satisfaction rate, etc.)
