Job Description

Join Visa’s dynamic team as an Executive Assistant, providing high-level support to the Senior Vice President of Client Care and ensuring seamless administration support within the department. This individual contributor role offers the opportunity to work in a fast-paced, hybrid environment, collaborating with leaders and colleagues across the organization.

Key Responsibilities:

  • Provide direct administrative support to a Senior Vice President and general support to team members, handling details of a highly confidential and critical nature.
  • Prepare meeting materials and develop and update PowerPoint presentations, Excel spreadsheets, and other documents to support team activities.
  • Maintain and manage a complex calendar, including scheduling meetings and travel, video conferences, trainings, group events, and booking conference rooms.
  • Coordinate periodic Strategy and Planning meetings, including all logistics, agenda/materials preparation, onsite support, and event management.
  • Manage regular Client Care leadership team meeting agendas and track action items to ensure timely follow-up.
  • Support departmental communications and engagement activities in collaboration with the Communications and People Team.
  • Schedule, coordinate, and track action items from Quarterly Business Reviews.
  • Process expense reports and handle monthly travel and expense budget tracking, flagging variances to the leadership team.
  • Establish and maintain effective, cooperative relationships with all levels of management, employees, and external partners.
  • Support ad hoc projects and maintain Business Continuity Management contact information.

This is a hybrid position. Expectation of days in the office will be confirmed by your Hiring Manager.

Qualifications

Basic Qualifications:

  • Minimum of 6 months of work experience or a Bachelor's Degree

Preferred Qualifications:

  • 2 or more years of work experience
  • Bachelor’s degree and 2+ years of administrative experience supporting a senior executive in a fast-paced environment with little supervision
  • Excellent planning, organizational, written and verbal communication skills.
  • Exercise good judgment in setting priorities and interacting with internal and external contacts.
  • Strong written and verbal communication skills, with the ability to communicate and collaborate effectively with a diverse group of people and job functions.
  • Proficiency in managing multiple executive calendars and organizing travel.
  • Demonstrated strengths balancing and prioritizing from several team members, with attention to detail and proven ability to organize well.
  • Skilled in Microsoft Outlook, Word, Excel, PowerPoint, Teams, Co-pilot, and SharePoint, experience Travel Booking, Expense and Invoice Payment tools.
  • Track record of excellent leadership and professional presence and displays confidence in working with others.
  • Interest and expertise in event planning and/or project management and coordination.
  • Capable of working with discretion and tact in an environment exposed to a high-level of sensitive and confidential information.
  • History of creative problem solving, ability to work well collaboratively and maintain a professional work environment.
  • Self-starter with a can-do attitude.

Additional Information

Work Hours: Varies upon the needs of the department.

Travel Requirements: This position requires travel 5-10% of the time.

Mental/Physical Requirements: This position will be performed in an office setting.  The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 63,200 to 89,500 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity. Visa has a comprehensive benefits package for which this position may be eligible that includes Medical, Dental, Vision, 401 (k), FSA/HSA, Life Insurance, Paid Time Off, and Wellness Program.
