Job Description

The Executive Support role provides comprehensive assistance to leaders and teams, enabling their daily activities and responsibilities. Services include managing diaries, coordinating meetings, handling communications like phone calls and emails, arranging business travel, maintaining records and files, and offering support on various tools, systems, and procedures. The role involves complex diary management and inbox management for the CIO, processing expenses, arranging travel itineraries, and ensuring security measures for travel in high-risk areas. It requires building and maintaining strong working relationships internally and externally, as well as supporting administrative and interpersonal tasks for executives. The position requires resilience, tact, and the ability to act as a credible representative for the executive.

Job Details

The Executive Support role provides support to our leaders and teams to enable them to be effective in their day-to-day activities and responsibilities. Services include: diary management and meeting co-ordination, fielding communications such as phone calls and e-mails, arranging business travel, maintaining records and files, and providing support on tools, systems and procedures. 

The variation of grades within the family will depend on the complexity of the services and tasks required 

Key Responsibilities 

  • Onsite and remote support for the Data & Analytics Chief Information Officer, Triona O'Keeffe in a hybrid working environment, usually 3 to 4 days per week in the office, or as often as the role requires 

  • Complex diary management, supporting one of the global business functions within LSEG 

  • Sophisticated inbox management on behalf of the CIO & taking care of incoming communication, correspondence on behalf of the Executive 

  • Using critical thinking to make connections across the business, internally and externally to pre-empt CIO’s requirements 

  • Collation of briefing papers, reports and presentations; 

  • Provision of administrative and interpersonal support to Executives 

  • Building and maintaining strong working relationships both internally and with clients and other key contacts at all levels; 

  • Leading the expense processes from raising claims, POs, setting up suppliers and acting as a delegate on the expense system 

  • Meeting and greeting visitors at all levels of seniority; 

  • Arranging standard, multi sector travel itineraries and accommodation in conjunction with the in-house travel team ensuring compliance with internal policies; 

  • Ensuring appropriate security measures are in place for travel in high risk areas; 

  • Keeping Executives compliance records updated, with gifts/entertainment etc; 

  • Supporting the holiday coverage module 

Candidate Background                                                         

  • Experience of supporting a Senior Executive helpful 

  • Degree Educated preferred 

  • Experience of a financial services company or other driven or fast paced environment; 

  • Polished & professional. Communication & organisational skills are key;

  • Highly organised and able to prioritise optimally with minimal supervision; 

  • Excellent communication and influencing skills; 

  • Resilience, tenacity and tact;

  • Ability to work independently with minimal supervision; 

  • Sound literacy and numerical skills; 

  • Ability to think on feet and to react quickly to problems and tackle them; and 

  • Flexibility, discretion and ability to respect confidentiality at all times; 

  • Appetite for hard work and dedication to work hours required of the role. 

  • Calm demeanour and able to function well under pressure; 

  • Able to work well individually and part of teams across a matrixed environment;
