Job Description

As the Executive Assistant to the Head of Australia, GIDS, you will play a pivotal role in ensuring the smooth operation of daily activities, allowing the Head to focus on strategic initiatives. Acting as a trusted partner, you will manage complex schedules, coordinate key meetings across time zones, and handle critical administrative tasks with efficiency and discretion. Your ability to anticipate needs, streamline processes, and provide seamless support will enhance productivity and drive operational excellence across the business. This role is a 12-month Fixed Term Contract.
Must have:
  • Provide EA support to the Head of Australia, GIDS.
  • Manage complex calendars and coordinate scheduling.
  • Organise domestic and international travel.
  • Process and manage expense reports.
  • Plan and execute events.
  • Book and set up meeting rooms.
  • Maintain and manage files and email distribution lists.
  • Enter and approve timesheets and oversee delegated tasks.
  • Assist with onboarding new employees.
  • Relevant qualification in Business Administration or Communications.
  • Experience in an Executive Assistant or Personal Assistant role.
  • Proficiency in Microsoft Office Suite, calendar management tools, and expense management systems.
  • Excellent written and verbal communication skills.
  • Strong ability to prioritise, multitask, and meet tight deadlines.
  • Ability to handle sensitive information with professionalism and discretion.
  • Proactive mindset with a solution-oriented approach.
  • Strong interpersonal skills.

What You Will Get To Do:

Acting as a trusted partner, you will manage complex schedules, coordinate key meetings across time zones, and handle critical administrative tasks with efficiency and discretion. Your ability to anticipate needs, streamline processes, and provide seamless support will enhance productivity and drive operational excellence across the business.

This role will be offered on a 12 months Fixed Term Contract

  • Provide EA support to the Head of Australia, GIDS, ensuring efficient management of daily operations.
  • Manage complex calendars, coordinate scheduling, and arrange meetings across multiple time zones.
  • Organise domestic and international travel, including flights, accommodation, transfers, and visas.
  • Process and manage expense reports, ensuring timely and accurate submissions.
  • Plan and execute events such as offsites, social/charity initiatives, and Town Halls.
  • Book and set up meeting rooms, including catering arrangements when required.
  • Maintain and manage files and email distribution lists, including tracking office attendance approvals.
  • Enter and approve timesheets and oversee delegated tasks in Workday and ServiceNow.
  • Provide marketing support where needed, assisting with materials and event coordination.
  • Manage and coordinate itinerary schedules for visiting senior executives and handle any additional travel requirements.
  • Assist with onboarding new employees, ensuring a smooth transition into the organisation.
  • Handle ad hoc administrative tasks as needed to support the team.

What You Will Bring:

  • Relevant qualification in Business Administration, Communications
  • Experience in an Executive Assistant, Personal Assistant role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), calendar management tools, and expense management systems.
  • Excellent written and verbal communication skills.
  • Strong ability to prioritise, multitask, and meet tight deadlines.
  • Ability to handle sensitive information with professionalism and discretion.
  • Proactive mindset with a solution-oriented approach.
  • Strong interpersonal skills to engage with senior executives, clients, and team members.
  • Experience working within Financial Services, Wealth Management or Insurance (Desirable)
