The Executive Assistant will support the Executive Vice President and Chief Financial Officer in a fast-paced environment. Responsibilities include managing calendars, preparing for meetings, handling communications, and managing travel arrangements. The role involves interacting with staff at all levels, prioritizing tasks, and exercising sound judgment. Other duties include creating expense reports and handling confidential information. The ideal candidate will need to be flexible and adaptable and have excellent organizational and problem-solving skills.
Must have:
  • Bachelor’s degree is required for this role.
  • Minimum five years experience as an Executive Assistant.
  • Advanced knowledge of Microsoft Office Suite.
  • Excellent interpersonal and communication skills are required.
Good to have:
  • Proficiency in Adobe Acrobat, WebEx, Zoom, Workday, and Concur.
  • Experience at a global organization with a dispersed team.
  • A customer-service mindset is a plus.

Executive Assistant to the Executive Vice President and Chief Financial Officer

Your Role

The Executive Assistant to the Executive Vice President and Chief Financial Officer will operate in a dynamic, rapidly changing environment which requires flexibility, adaptability and initiative, as well as excellent organizational and problem-solving skills. This role acts as a partner to three Vice Presidents, managing their calendars, keeping them prepared, advising of outstanding issues, proactively following up, and experienced in handling a wide range of support tasks. The role requires interacting with staff at all levels, sometimes under pressure, while maintaining a high level of professionalism. Other necessary skills include attention to detail, strong written and verbal communication skills, and strong decision-making ability.

In your daily job you will:

  • Provide sophisticated calendar management for three Vice Presidents. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Make domestic and international travel arrangements within Aptiv policy. This will also include submitting travel requests in Concur.
  • Serving as the primary point of contact for internal and external constituencies on all matters pertaining to the Vice President’s, including those of a highly confidential or critical nature.
  • Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect Vice President’s style and organization policy.
  • Working closely with the Vice President’s to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Other strategic projects/duties as assigned
  • Handle sensitive or confidential information with discretion
  • Creating and submitting expense reports

Must Haves (Basic Qualifications):

  • Bachelor’s degree
  • Minimum of five years’ experience working as an Executive Assistant
  • Advanced knowledge of Microsoft Office (Outlook, Word, PowerPoint, Excel and Teams)
  • Excellent interpersonal and communication skills
  • Nice to Haves (Preferred Qualifications):
  • Proficiency in Adobe Acrobat, WebEx, Zoom, Workday, and Concur
  • Previous experience at a global organization, working with a dispersed team
  • Customer-service mindset
