Vanity Fair is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Global Editorial Director (GED). This pivotal role requires a strategic thinker with exceptional communication skills who can anticipate needs, provide counsel and advice, streamline daily operations, and serve as a key liaison across departments and with high-level internal and external stakeholders. The ideal candidate will manage complex calendars, coordinate international and domestic travel, and ensure the GED is fully prepared for key initiatives. This individual will represent the GED’s office with sound judgment, discretion, professionalism, and polish.
Must have:
  • Manage the GED’s dynamic calendar, including scheduling internal and external meetings across multiple time zones.
  • Coordinate detailed domestic and international travel arrangements, including logistics, itineraries, accommodations, and transportation.
  • Prepare for meetings by securing locations, arranging necessary technology, preparing materials, and confirming attendee participation.
  • Provide meeting support, including note-taking, summarizing key takeaways, and tracking follow-ups to completion.
  • Process and track expenses in a timely and organized manner, ensuring adherence to company guidelines.
  • Act as a point of contact between the GED’s office and internal teams, external partners, and industry leaders.
  • Lead and be responsible for special projects by coordinating resources and tracking progress for the GED’s office.
  • Maintain strict confidentiality and use sound judgment in handling sensitive high-level information.
  • Demonstrate emotional intelligence, judgement, discretion, and confidentiality in all matters.
  • Continuously seek ways to anticipate needs, improve workflows, and ensure successful department initiatives.
  • Provide foresight to enhance the efficiency of the GED’s office.

The ideal candidate is adept at managing complex calendars, coordinating international and domestic travel, and ensuring the GED is fully prepared and positioned for success in executing key initiatives. This individual will represent the GED’s office with sound judgment, discretion, professionalism, and polish, both in person and in written communications.

Key Responsibilities

  • Manage the GED’s dynamic calendar, including scheduling internal and external meetings across multiple time zones.
  • Coordinate detailed domestic and international travel arrangements, including logistics, itineraries, accommodations, and transportation.
  • Prepare for meetings by securing locations, arranging necessary technology, preparing materials, and confirming attendee participation.
  • Provide meeting support, including note-taking, summarizing key takeaways, and tracking follow-ups to completion. The ideal candidate should be able to provide additional insight and counsel to assist the GED’s office.
  • Process and track expenses in a timely and organized manner, ensuring adherence to company guidelines.
  • Act as a point of contact between the GED’s office and internal teams, external partners, and industry leaders. Lead and be responsible for special projects by coordinating resources and tracking progress for the GED’s office.
  • Maintain strict confidentiality and use sound judgment in handling sensitive high-level information.
  • Demonstrate emotional intelligence, judgement, discretion, and confidentiality in all matters.
  • Continuously seek ways to anticipate needs, improve workflows, and ensure successful department initiatives Provide foresight to enhance the efficiency of the GED’s office.
  • Additional duties as required.

Qualifications

  • Proficiency in Google Workspace (G-Suite) is required.
  • Exceptional written and verbal communication skills, with the ability to proofread.
  • Strong organizational and time management skills; able to prioritize multiple tasks in a fast-paced environment.
  • Meticulous attention to detail and an unwavering commitment to accuracy.
  • Proactive, punctual, and professional, with a high level of discretion and integrity.
  • Comfortable working across teams and managing relationships at all levels, including high-level senior leadership.
  • Solutions-oriented with an ability to think on your feet and demonstrate personal accountability, initiative, and follow-through

The expected base salary range for this position is from $63,500-$80,000. Salary offers are based on a wide range of factors including but not limited to relevant skills, training, experience, and education.
