Job Description

The HR Coordinator supports the EU HR team in daily HR administration and Workday activities. Responsibilities include managing Workday data (entries, modifications, terminations), facilitating HR processes related to Workday, payroll, benefits, and training; processing invoices and PRs in SAP; partnering with IT for onboarding; supporting HR program design and implementation; assisting with HR projects (e.g., employee events); coordinating employee communications; and preparing reports on key HR metrics. The role requires strong organizational, communication, and technology skills, along with experience with Workday and HRIS systems. Experience with payroll data management is a plus.

What will you work on?
The HR Coordinator works closely with the HR EU team to support all day-to-day HR admin and Workday related activities. The HR Coordinator is responsible for a number of HR administrative duties and HR projects, supporting the HR department across all European offices/countries, assists with administrative tasks including maintenance and compliance of HR data, recruitment support, employee documentations, data management, all Workday data entries as well as updated HR/Workday data or Workday maintenance including new workday module implementation, provides updates of HR systems, benefits or payroll related activities. Some of the tasks may include the logistics of training activities or related documentation and support of HR business partners.

How will you create impact?

  • Manage and maintain all Workday data (entry, modification, terminations, new hires, new process, updating documents, etc)
  • Facilitating human resources processes related to Workday, payroll, benefits, training or others
  • Supporting EU HR team in any administrative tasks
  • Processing invoices and PRs in SAP
  • Job description process management
  • Partner closely with IT for all onboarding requirement when/if necessary
  • Supports the design, implementation and ongoing delivery of HR programs and initiatives across all locations/creative centres
  • Assist with other HR projects and duties as required (e.g. Take your Kids to Work Day, HR Group Orientations, Wellness, etc.)
  • Support in arranging meetings, logistics and on-site training, booking meeting rooms, sending email invites
  • Coordinate communication towards employees as needed and per the HR team guidance
  • Support and organise Employee Initiatives and Events
  • Onboarding/offboarding of employees and ensure HR policies and new hire training is completed
  • Prepare accurate reports of key metrics: headcount, attrition/turnover, absences if required and needed
  • Escalates appropriately all HR matters to be resolved related to data, administrative tasks or ongoing activities


What are your skills and experience?

  • Minimum 3 years of HR administration or similar position
  • University degree, preferably in Human Resources.
  • Experience with Workday HR Information System is essential
  • Excellent organizational, communication and interpersonal skills
  • Excellent technology skills; proficient with MS Word, Excel, PowerPoint and familiar with HRIS
  • Experience managing payroll data/consolidation in previous experience is an asset
  • Health and Safety certification an asset
  • Proactive, results oriented and good judgment
  • Ability to recognise and react appropriately to confidential situations
  • Able to work in a fast-paced environment while maintaining high standards of accuracy, attention to detail and timelines
  • Ability to effectively manage multiple priorities
  • Attention to detail, with high ability to follow up ongoing projects
  • Sensitive to dealing with high confidential data and information
  • Fluency in English, verbal and written, is a must
