The Office Coordinator at DNEG provides comprehensive administrative support, serving as a primary contact for visitors, employees, and vendors. This role involves managing day-to-day office operations, including scheduling, supply management, mail coordination, and equipment maintenance. The coordinator also assists with travel arrangements and helps organize office events, contributing to a positive and organized work environment.
Must have:
  • Serve as a point of contact for visitors, employees, and vendors.
  • Cover reception, answering and directing phone calls, emails, and inquiries.
  • Schedule and coordinate meeting rooms.
  • Oversee day-to-day office operations to ensure smooth functioning.
  • Order, stock, and track office supplies, snacks, and equipment.
  • Coordinate incoming and outgoing mail, packages, and deliveries.
  • Ensure office equipment is in good working order.
  • Liaise with building management for repairs, maintenance, and security.
  • Help coordinate office events, celebrations, and team-building activities.
  • Minimum of 2 years of relevant experience.
  • Strong knowledge of the Office suite (Word, Excel, PowerPoint).
  • Ability to work without supervision.
  • Very good oral and written communication skills.
  • Strong interpersonal skills.
  • Organizational and attention to detail.
  • Rigorous and detail oriented.
  • Confidentiality.
  • Ability to work as a team.

Tasks and responsibilities

Administrative Support

  • Schedule and coordinate meeting rooms.
  • Assist with travel arrangements.
  • Oversee day-to-day office operations to ensure smooth functioning.
  • Order, stock, and track office supplies, snacks, and equipment.
  • Coordinate incoming and outgoing mail, packages, and deliveries.
  • Ensure office equipment is in good working order.
  • Ad hoc administrative tasks which include errands, couriering documents, setting up/clearing meeting rooms
  • Liaise with building management for repairs, maintenance, and security.
  • Help coordinate office events, celebrations, and team-building activities.
  • Help foster a positive, inclusive, and well-organized office environment.

Qualifications

  • Experience in a related field, or equivalent combination of experience and education.
  • Minimum of 2 years of relevant experience.
  • Strong knowledge of the Office suite (Word, Excel, PowerPoint) and demonstrated ability to learn new software.
  • Ability to work without supervision.

The base salary range for this full-time position is $30,000 to $40,000 USD. DNEG salary ranges are determined by function, department, level and location. An individual's pay within a given range is determined by their transferrable or job-related skills and work experience. Salary ranges are modified from time to time based on external market data collected through our third-party surveys.
