Job Description

Cognite is seeking a proactive, highly organized, and approachable Receptionist & Office Manager for its Phoenix office. This full-time, on-site role is crucial for leading daily operations, serving as the primary front office representative, and creating a welcoming, efficient, and dynamic workplace experience. The manager will also help strengthen and uphold Cognite’s culture locally, ensuring smooth functioning of the office environment and supporting various internal and external stakeholders.
Must have:
  • Manage employee access to offices, parking, gym, and security systems.
  • Act as the primary liaison with building management and facility service providers.
  • Oversee vendor and delivery workflows, procurement of office supplies and equipment, and maintain accurate inventory.
  • Plan and manage office space utilization to support productivity and employee well-being.
  • Coordinate reception and front-of-house services, including greeting guests and managing mail.
  • Support meetings and events with catering, logistics, and workspace preparation.
  • Serve as Customer Experience Center Coordinator, managing scheduling and on-site support.
  • Implement workplace health and safety initiatives and ensure compliance.
  • Organize cultural and social events such as holiday parties and team-building.
  • Bring 3+ years of experience in office management, reception, or administrative support.
  • Known for clear, warm communication that builds strong relationships.
  • Skilled at collaborating across teams and with external stakeholders.
  • Highly organized and detail-oriented, with the ability to anticipate needs and solve problems.
  • Comfortable taking ownership and working independently.
  • Thrive in fast-paced, dynamic settings and enjoy creating structure.
  • Capable of balancing multiple tasks and vendors simultaneously.
  • Proficient in Microsoft Office, GSuite, Teams, Zoom, Slack.

The Opportunity

Cognite is looking for a proactive, highly organized, and approachable individual to lead daily operations and serve as the primary front office representative in our office. This role is central to creating a welcoming, efficient, and dynamic workplace experience while helping to strengthen and uphold Cognite’s culture at the local level.

This is a full-time, onsite role requiring a consistent presence in the office.

What You’ll Do

  • Manage employee access to offices, parking, gym, and security systems, ensuring compliance with safety and audit requirements
  • Act as the primary liaison with building management and facility service providers, including maintenance, cleaning, and security
  • Oversee vendor and delivery workflows, procurement of office supplies and equipment, and maintain accurate inventory
  • Plan and manage office space utilization to support productivity, growth, and employee well-being
  • Coordinate reception and front-of-house services, greeting guests, managing mail and deliveries, and maintaining common areas
  • Support meetings and events with catering, logistics, and workspace preparation, including new hire onboarding setup and office orientation
  • Serve as Customer Experience Center Coordinator, managing scheduling, logistics, and on-site support
  • Implement workplace health and safety initiatives, provide training, and ensure compliance with safety requirements
  • Organize cultural and social events such as holiday parties, team-building events, and team celebrations

Who You Are

  • Bring 3+ years of experience in office management, reception, or administrative support, with a track record of keeping operations running smoothly
  • Known for clear, warm communication that builds strong relationships with employees, visitors, and vendors while maintaining a service-first mindset
  • Skilled at collaborating across teams and with external stakeholders to ensure alignment and positive outcomes
  • Highly organized and detail-oriented, with the ability to anticipate needs and solve problems before they arise
  • Comfortable taking ownership and working independently while also thriving in a team environment
  • Thrive in fast-paced, dynamic settings and enjoy creating structure in the middle of change
  • Capable of balancing multiple tasks and vendors simultaneously while keeping timelines and standards on track
  • Proficient in Microsoft Office, GSuite, Teams, Zoom, Slack, and other workplace tools that support seamless communication and workflows
