The Senior Specialist Program Coordinator for Employee Learning is responsible for ensuring the end-to-end operation of EL programming. These programs enable Salesforce’s high-performance culture, allowing us to deliver exceptional business results. In this role, you will serve as the Senior Specialist Coordinator for Enterprise Learning Programs, providing seamless support locally and regionally to ensure a positive experience for our employees. You will join a team that contributes to innovation, maintenance/process improvement, and the delivery of our global Enterprise Learning programs. You will partner closely with our Enterprise Learning Center of Excellence team, including Technology, Communications, and Data, to ensure that all Enterprise Learning elements are centralized and transparent.
The Open Programs and Leading for Success Operations and Logistics role is a critical function focused on the daily management, coordination, and logistical execution of the organization's Open Programs and the Leading for Success (LFS) events. This role requires a blend of operational system administration (Learning Management Systems), complex vendor management, financial oversight (including budgeting, sourcing, and purchase orders), data management, communications, and event coordination.
The Program Coordinator will play a pivotal role in ensuring these highly valued, award-winning programs are successful and continue to align with Salesforce AI initiatives.
1. Financial Management and Procurement Oversight The role requires extensive financial oversight, including managing the Open Program budget and actual spend. This involves substantial transactional work, such as approving per quarter for completed courses, raising quarterly Purchase Orders (POs) per course, and submitting POs for new suppliers and adhoc requests. Additionally, the coordinator must manage LFS expenses via Coupa/P-card and Concur tracking.
2. Stakeholder and Vendor Relationship Management This position serves as the primary operational contact for numerous internal and external groups. The individual must communicate with several external suppliers regarding program management, including date changes, registration updates, payments, and rate negotiations. Internally, the role requires partnership with Sourcing to negotiate the best rates, collaboration with the ELC Technology Lead on system updates and bug reporting, and consistent check-ins with the EL Open Program Strategy lead regarding program health.
3. Complex Event and On-site Logistics Execution The role demands full logistical support for multiple In-Real-Life (IRL) LFS events throughout the year. This includes creating a Project Plan and logistics guide for each event, managing LFS vendors (Caterers, SWAG, Materials), ordering supplies, and handling on-site coordination. On-site Event coordinator is transferred to our local team, and they are responsible for critical setup tasks (e.g., table setup, swag, nametags), greeting the AV team and outside vendors, and ensuring all catering services (breakfast, snacks, lunch) are set.
4. System Administration and Data Integrity (ELC) The coordinator must ensure data accuracy and operational stability within the Enterprise Learning Center (ELC). This involves working daily on questions and issues related to Open Programs, updating the system status for cancelled courses, and making necessary ELC updates to push through changes. The role also includes partnering with the ELC Technology Lead to optimize the use of the ELC and sharing best practices with external partners who utilize the system for high-scale volume additions.
5. Data Analysis and Program Reporting A significant amount of time is dedicated to analyzing program effectiveness. This requires manually pulling and analyzing data from the ELC and Survey Monkey to prepare presentation decks for Quarterly Business Reviews (QBRs) with all external suppliers. Furthermore, the coordinator must run Participation Reports from the ELC for LFS cohorts twice a week and share expertise on Operation Metrics with the COE. Data analysis is also crucial for implementing an audit of sunsetting courses based on utilization and scores.
6. Program Troubleshooting and Crisis Communication The position requires mandatory communication and issue resolution, particularly concerning course availability. Including escalating issues to suppliers and taking action to cancel courses, followed by communicating updates to internal participants via email or Slack. The coordinator must also assist participants or escalate troubleshooting to the ELC Tech lead, and actively manage communication channels like the LFS Slack channel before and during events to handle participant questions and cancellations. A key objective is working to maintain a goal of <5% program cancellations.
