Job Summary
The Workplace Experience Manager, reporting to the CPO, is responsible for ensuring all studio workplaces support employee wellness. This role involves developing policies, implementing strategies, managing departmental budgets, and leading projects to enhance physical workplaces and experience programs. The manager oversees the Workplace Experience team in Canada and the US, operating as a full-time, on-site position based 5 days a week at the Downtown Vancouver studio.
Must Have

Reporting to the CPO, the Workplace Experience Manager is responsible for ensuring the workplaces across various studios support the wellness of employees. They write policies, implement strategies, are responsible for departmental budgets and complete projects that enhance the physical workplace and workplace experience programs. This position manages the Workplace Experience team in Canada and the US.
This role is a full-time, on-site position based 5 days a week at our Downtown Vancouver studio.
In this role, you can expect to:
- Key Accountabilities
- Global Facilities Strategy:
- Develop, lead, and implement a global strategy for facilities that aligns with the organization's vision and goals.
- Identify risk areas and allocate appropriate resources to achieve expected goals.
- Execute the strategy while considering both global and local factors.
- Accountable for departmental budgets and planning.
- Cross-Functional Collaboration:
- Act as a true partner to local business leaders, finance, the People Team, IT, and other functional areas.
- Facilitate the planning and delivery of an integrated workplace experience across all touchpoints.
- Employee Experience Focus:
- Establish and extend professional etiquette that enhances the overall employee experience.
- Take responsibility for facility management elements that may influence employee satisfaction and well-being.
- Employee Events:
- Regularly participate in meetings with employees to gather feedback and insights.
- Play a role in staffing, recruitment, onboarding, and performance review processes throughout the year.
- In-Office/Hybrid Work Enablement:
- Collaborate with cross-functional teams to develop guidelines, tools, policies, and operational frameworks that support an in-office/hybrid work culture as per the direction suggested by the business.
- Ensure that facilities are equipped to accommodate flexible work arrangements.
- Facilities Development and Projects:
- Oversee and lead the review, analysis, and preparation of facilities development project plans, considering viability, budget, scope, schedule, and compliance.
- Guide the day-to-day delivery of development projects, including expansions, new building developments, and replacements, while managing multi-location facility budgets.
- Space Optimization and Stakeholder Alignment:
- Develop policies and processes that optimize workspace design, integrate technologies, and enhance the workplace experience.
- Align these policies and processes with a diverse group of stakeholders within the company.
- Reporting and Budget Oversight:
- Create and manage reporting for the leadership team, studio heads, and finance.
- Provide updates on project status, budget reporting, and cost-efficient facility improvements.
- Vendor and Partner Relations:
- Develop, cultivate, and own key relationships with landlords, property management companies, third-party service providers, and vendors.
- Ensure effective collaboration with external partners.
- Office Renovations and New Builds:
- Work with the CFO to support office renovations and new office build-outs.
- Take responsibility for the scope, schedule, budget, and overall success of space renovation projects as needed.
- Global Workplace Consistency:
- Create a consistent workplace experience across all studios globally while respecting local culture and preferences.
- Apply a hospitality mindset to enhance the employee experience and productivity.
- IT Help Desk Support:
- Troubleshoot technical problems and escalate complex issues to appropriate IT personnel.
- Assist with deployment and management of IT assets.
- Install, configure, and maintain computer workstations, peripherals, and software applications.
- Management:
- Manages the Workplace Experience portfolio across US & Canada.
To be successful in this role, your background includes:
- Post-Secondary education in related field.
- 5+ years experience in office and facilities management, including large office spaces and multiple office sites.
- Effective project management skills, knowledge and experience, including effective effort estimation, dependency mapping, schedules, risk management and tracking.
- Proven ability to develop effective office/facilities policies and processes, reconciling the needs of diverse staff and management requirements.
- Experience with event planning and management, supporting the delivery of events and programs that build and enhance company culture.
- Experience managing new space build-outs and existing space renovations.
- Experience working with a diverse group of stakeholders across an organization at various levels, including senior management.
- Excellent collaboration and problem-solving skills, focusing on proactively identifying potential issues before they become a problem.
- Effective communication and presentation skills, communicating plans, rationale and business results effectively.
- Previous experience successfully managing and coaching office managers and Facilities staff at multiple levels.
- Adapt by using technological solutions to reduce friction points and automate where necessary to create an on-demand, adaptive and inspiring workplace; make decisions and suggestions based on accurate data; know how to utilize valuable space.
- Experience effectively working across multiple and divergent cultures and possess a global mindset.
- Experience in managing multi-team locations and outsourced relationships.
