Onward Search is seeking an Administrative Specialist II for an 8-month, on-site contract role in Shelbyville, IN, with a leading energy services company. This role supports the Training & Development team, providing administrative, reporting, and operational assistance to ensure smooth training delivery and employee onboarding. Key responsibilities include managing reports, supporting new hire processes, maintaining training calendars, preparing materials, processing invoices, and serving as a system administrator for various tools. The ideal candidate will have strong administrative experience and proficiency in Microsoft Office Suite and Power BI.
Must have:
  • Run, track, and submit reports; manage department communications.
  • Support new hire onboarding and orientation processes.
  • Maintain training calendars and create classes in the Learning Management System (LMS).
  • Plan, prepare, and set up training materials; coordinate with trainers for printing and logistics.
  • Process invoices, order office supplies, and manage facility requests.
  • Serve as system administrator for SharePoint, MyLearning, and training tools.
  • Track certifications, compliance records, and Veterans’ benefits.
  • Provide reporting and trending analysis using Excel and Power BI.
  • Participate in team committees, special projects, and events.

Administrative Specialist II Responsibilities:

  • Run, track, and submit reports; manage department communications.
  • Support new hire onboarding and orientation processes.

Administrative Specialist II Qualifications:

  • High School Diploma or GED required.

  • Proficiency in Microsoft Office Suite (Excel – advanced, Word, Outlook, Teams, PowerPoint) and Power BI.
  • Strong written and verbal communication skills with attention to detail.
  • Ability to multi-task, work independently, and provide customer-focused support.
