Calix is seeking an exceptional Executive Assistant to support the Chief Marketing Officer. We are looking for a learner and innovator who is unafraid to try something new and has a predisposition towards action. You should be comfortable working in a fast-paced environment with fluid and competing deadlines. Candidates who have experience supporting executives in a remote work environment are strongly preferred.
You will report into the Sr. Executive Assistant to the President and CEO, Executive Support Team and join an exciting and engaging Executive Assistant team!
Responsibilities and Duties:
- Manage the CMO’s global calendar and prioritize meetings to ensure his day is productive.
- Provide a "gatekeeper" and "gateway" role, creating win-win situations for direct access to his time.
- Draft correspondence and coordinate his communications with internal and external parties.
- Arrange complex travel and complete monthly business expense reports.
- Prepare him for internal/external meetings, including research and documentation to support positive meeting outcomes.
- Liaise closely with the events team to organize and execute on various internal and external events for which he is the executive sponsor.
- Maintain confidentiality of highly sensitive information.
- Execute on various ad-hoc projects, as requested.
- Assist with any in person local events as requested
- Attend in person meetings in San Jose when CMO requires assistance
- Provide back-up to other EA team members, as needed.
- Manage and mentor the Marketing administrative assistant.
Qualifications:
- BA in business (or equivalent) or 6+ years’ of related work experience.
- 5+ years of solid, senior level (C-suite or equivalent) executive support experience.
- Self-starter, self-motivated, discrete, collaborative with ability to also work independently.
- Very strong interpersonal skills and the ability to build relationships with key stakeholders in a remote environment.
- Excellent written and verbal communication skills.
- Impeccable organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail.
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, Teams and social media web platforms.
- Previous leadership experience is desirable.
- Some travel may be required. Estimate <5%

The base pay range for this position varies based on the geographic location. More information about the pay range specific to candidate location and other factors will be shared during the recruitment process. Individual pay is determined based on location of residence and multiple factors, including job-related knowledge, skills and experience.
