About the role:
We are looking for a Facility Coordinator to organize and coordinate office operations and procedures, to ensure organizational effectiveness, efficiency and safety.
The Quest:
- Perform facility activities including coordination of general maintenance, repairs and housekeeping
- Act as primary liaison for building maintenance issues
- Coordinates supply needs for all employees
- Oversees new hire process is followed, and new hires have the appropriate equipment, furniture, and supplies on their first day of work
- Coordinates office and workstation moves and adjustments with IT, department manager and employee
- Managing building maintenance daily operation
- Cost control, resource management and planning for building management related issues
- Vendor management
- Assist in procurement of spares, consumables and building management related services
- Managing projects concerning rearrangements of office space in accordance with business need
- Booking transport and accommodation
- Managing office budgets
- Ensuring that health and safety policies are up to date
- Serve as the point person for maintenance, mailing, shopping, supplies, equipment, bills and errands
- Partner with HR to maintain office policies as necessary
- Organize office operations and procedures
- Manage relationships with vendors, service providers and landlord
- Manage contract and price negotiations with office vendors, service providers and office lease
- Manage office budget, ensure accurate and timely reporting
- Welcomes and directs visitors (clients, candidates, couriers, vendors, etc.)
- Manage internal and external correspondence
- Distribute incoming documents to appropriate departments
- Provide basic and accurate information in-person and via phone/email
- Maintains safe and clean reception area by complying with procedures, rules, and regulations.
- Distribute various documents to employees
- Act as assistant to upper management by:
- maintaining calendars
- arranging and organizing meetings
- booking transport and accommodation
The Skills:
Proven office management, administrative or assistant experience
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficiency in MS Office
- Fluency in English (both verbal and written)
- Customer Focus
