Job Description

The Junior Operations Support Specialist will provide administrative and operational support to the Las Colinas office. Key responsibilities include greeting visitors, managing front desk operations, coordinating travel and meetings, assisting with event planning, and supporting the facility team with various tasks. This role also involves providing administrative assistance to executive, finance, and legal teams, requiring a professional demeanor and strong organizational skills.
Must have:
  • Greet all visitors and employees to the US based headquarters office.
  • Share receptionist’s duties and be accountable for front desk needs (visitors, badging, parking, new hires, deliveries).
  • Assist visitors and traveling employees with coordinating hotel and various travel bookings.
  • Handle meeting arrangements.
  • Support the event support coordinator in coordination of onsite meeting planning.
  • Order catering and schedule conference rooms as needed.
  • Support facility team members as needed (mail, shipping, moves, desk assignment, scheduling vendors and vendor coordination / liaison, interfacing with property management).
  • Provide administrative support to executive, finance and legal team.
  • Maintain a professional demeanor and appearance.
  • Minimum of high school diploma.
  • Minimum of 5 years’ experience with a demonstrated history of dependability and punctuality.
  • Excellent communication skills with the ability to communicate with all levels of the organization as well as vendors and guests.
  • Ability to produce and originate professional correspondence.
  • Ability to function and resolve problematic issues with minimal supervision.
  • Proficient computer skills including MS Word, Excel and PowerPoint.
  • Ability to multi-task and meet deadlines.
  • Ability to lift 50lbs, work on a ladder and maneuver in tight spaces.
  • Candidates must be authorized to work in the U.S. without the need for employment-based visa sponsorship, both currently and moving forward.
Good to have:
  • A college degree is highly preferred.
  • Prior experience planning meetings with up to 100 participants is highly desired.

Position Summary:

The Junior Operations Support Specialist will support the Las Colinas office in various tasks and responsibilities related to assisting the office.

Responsibilities:

  • The Administrative Assistant/Receptionist will be responsible for greeting all visitors and employees to our US based headquarters office in Las Colinas, TX.
  • This position will share the receptionist’s duties and will be accountable for the front desk needs. (including but not limited to visitors, badging, parking, new hires, deliveries).
  • Will assist visitors and traveling employees with coordinating hotel and various travel bookings in addition to handling meeting arrangements.
  • Support the event support coordinator in coordination of onsite meeting planning, along with ordering catering and scheduling conference rooms as needed. Prior experience planning meetings with up to 100 participants is highly desired.
  • Position will support facility team members as needed (Including but not limited to mail, shipping, moves and desk assignment, scheduling vendors and vendor coordination / liaison as well as interfacing with the property management.)
  • May support other departments with special projects as needed.
  • Provide administrative support to executive, finance and legal team.
  • Successful candidate will have a professional demeanor and appearance and be able to maintain a positive rapport with employees as well as US and International visitors.

Qualifications:

  • Minimum of high school diploma. A college degree is highly preferred.
  • Minimum of 5 years’ experience with a demonstrated history of dependability and punctuality. Must be able to work extended hours on occasion as needed.
  • Excellent communication skills with the ability to communicate with all levels of the organization as well as vendors and guests.
  • Must be able to produce and originate professional correspondence and be able to function and resolve problematic issues with minimal supervision.
  • Candidate should possess proficient computer skills including MS Word, Excel and PowerPoint and the ability to multi-task and meet deadlines.
  • Responsible for completing other duties as assigned.
  • Position is an in-office job. 5 days a week. Extended hours and weekend work may be required based on business needs.
  • Ability to lift 50lbs, work on a ladder and maneuver in tight spaces.
