Job Description

Provide administrative and executive support for in-house counsel and the international legal team, and serve as office coordinator for the Vienna office. This role requires strong organizational and interpersonal skills, along with discretion and reliability. Responsibilities include managing travel, filing, invoicing, correspondence, coordinating office needs, maintaining records, preparing documents, processing expenses, and interacting with visitors in a fast-paced environment.
Must have:
  • Provide administrative and executive support for in-house counsel and international legal team.
  • Serve as office coordinator for Vienna office.
  • Perform administrative duties including travel arrangements, photocopying, preparing binders, filing, invoicing, and handling correspondence.
  • Handle confidential and privileged information; must be reliable, trustworthy, and discreet.
  • Coordinate office needs with other company departments and external vendors.
  • Maintain an organized filing system for company records, correspondence, and contracts.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • Process expense reports and assist legal department personnel with invoice preparation.
  • Receive and interact with incoming visitors, arranging food and other host details for meetings.
  • College degree or equivalent professional experience.
  • Proficient with Microsoft software (Word, Excel, Power Point, etc.).
  • Must be a notary (can be obtained post-employment).

Job Details

Provide administrative and executive support for in-house counsel and international legal team and serve as office coordinator for Vienna office. Good organizational and interpersonal skills required. Must be well organized and dedicated to the administrative challenges of supporting legal department personnel in a fast-paced environment. Must be discreet, reliable, dependable and trustworthy.

Essential Function

  • Perform administrative duties and provide general support to General Counsel and international legal team, including making travel arrangements, photocopying, preparing binders, filing, invoicing, and handling correspondence as requested.
  • Entrusted with confidential and privileged information; must be reliable, trustworthy and discreet.
  • Coordinate office needs with other company departments and external vendors. Stock office supplies, maintain office equipment, and arrange for equipment or building maintenance as may be required. Answer phones and direct all incoming calls to appropriate party promptly and efficiently. Open and route mail, and sign for deliveries.
  • Maintain an organized filing system for company records, correspondence and contracts. Update international binders and corporate records.
  • Prepare and edit correspondence, communications, presentations and other documents. Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • Process expense reports in a timely manner. Code and track invoices and check requests. Assist legal department personnel with preparation of invoices, reports, memos, letters, financial statements and other documents, using word processing, power point, spreadsheet, database, or presentation software.
  • Receive and interact with incoming visitors. Arrange food and other host details (such as parking and security badges) for meetings as requested.
  • Other duties as assigned.

Qualifications

  • College degree or equivalent professional experience.
  • Proficient with Microsoft software (Word, Excel, Power Point, etc.)

  • Excellent writing, grammar and proofreading skills.
  • Ability to work independently and consistently while working on various topics and projects simultaneously.
  • Positive attitude, sense of humor and team-oriented ethic.
  • Proven ability to work well under pressure and meet deadlines in fast-paced environment.
  • Ability to interface with all staff levels within and outside of Feld Entertainment, Inc. in a professional manner.
  • Must be a notary – can be obtained post-employment

International Touring Personnel

To the extent international touring personnel are visiting a jurisdiction that requires vaccination, proof of vaccination in accordance with the relevant international law should be submitted directly to either the Tour Manager or to Human Resources at least six weeks prior to the start of the tour. The Company will maintain all information regarding vaccination status as confidential in accordance with applicable laws.
