Flock Safety is seeking a Proposal Coordinator to manage incoming requests and organize documents for customer RFPs. This role involves fine-tuning the Responsive database and supporting the completion of RFPs. The ideal candidate is adaptable, a problem-solver, and detail-oriented, with experience in Enterprise, Public Sector, SaaS, and B2B industries. Responsibilities include reviewing requirements, updating content databases, coordinating kickoff meetings, and ensuring RFPs are finalized with proper editing and legal requirements. The Opportunity

Our business is growing by leaps and bounds, and we are adding resources to our RFP Desk. This role is the administrative traffic manager for all incoming requests and a whiz at organizing all kinds of documents, finding and connecting all the inputs for completing the customer’s RFP, and lending a hand on keeping our Responsive database finely tuned, updated and able to support any question from the organization.

This person thinks quickly and in multiple dimensions if required! They see the gaps in a process and want to make it better. Highly adaptable, this person firmly believes all problems are solvable and if they don’t know how to solve it, they will find a way.

There are plenty of opportunities to use existing skills to learn and grow. Depending on the needs of the business, this person can move among very different tasks at any time, from reviewing requirements, updating the content database with new information, and coordinating kickoff meetings with sales and other stakeholders to ensuring everything is buttoned up before the RFP is complete (editing, documents, legal requirements). They enjoy solving problems, being part of the solution, and ensuring nothing is missed.

The Skillset

  • Demonstrated familiarity and experience with RFPs in Enterprise, Public Sector, SaaS, and B2B industries

  • Strong understanding of the bid and deal lifecycle, workflow development, proposal writing, and project management skills

  • Experience working in ambiguous, quickly moving environments

  • Ability to multitask and prioritize, especially during times of high volume and urgency (End-of-Month, Quarter, and Year)

  • Strong skills in partnering with cross functional departments

  • Highly organized, self-directed, and is all about the details

  • Review and edit proposals for clarity, grammar, style, and formatting, ensuring a polished final product.

  • Excellent communicator, self-aware, transparent, professional, and has a growth mindset

  • Ability to prioritize and effectively manage distractions

  • Strong skills in gSuite, Slack, Seismic, and Adobe. Working knowledge of Salesforce.

  • Familiarity and understanding of content management tools, with Responsive (formerly RFPIO) preferred

  • Able to refine and enhance content management processes to improve efficiency and effectiveness

  • Previous experience working with procurement platforms (Ariba, Bonfire, Avetta, for example)

  • Eager for challenges and takes responsibility for learning new information

90 Days at Flock

The First 60 Days

  • Understand who we work with, how we manage and store information for RFPs and the process from start to finish.

90 Days & Beyond

  • Complete ownership of the intake process and working independently to direct incoming RFP documentation to the right resources.

The Interview Process

  3. The Panel: Learn more about the team, responsibilities, and workflows. You should be prepared to speak about past projects, how you collaborate and communicate with others, and how you live our values. Depending on the team and role you are interviewing for, you may meet with several teammates as well as cross-functional partners.

Salary & Equity

In this role, you’ll receive a starting salary between $70,000 - $80,000 as well as Flock Safety Stock Options.
