Job Description

Barnstorm, an Emmy and VES-nominated visual effects studio, is seeking an experienced VFX Production Coordinator for their Vancouver studio. The role involves coordinating and managing VFX projects, scheduling internal technical assignments, organizing meetings and dailies, ensuring project management software statuses are maintained, and packaging shot deliveries. Responsibilities include coordinating team tasks, managing calendars, recording notes, communicating team updates and schedule changes, and following up on completed work to ensure timely delivery. The position requires maintaining quality control and coordinating project closure processes.
Must have:
  • 5+ years of experience in VFX or film production
  • Intermediate-Expert with Flow (Shotgrid/Shotgun)
  • Intermediate to Advanced Google Suite knowledge
  • Project management experience in VFX
  • Effective liaison with clients, artists, and producers
  • Technical workflow understanding
  • Understanding of TV/episodic VFX pipelines
Good to have:
  • Feature film VFX pipeline knowledge
  • Knowledge of VFX Software (2D/3D packages)

What You’ll Do

  • Schedules, prioritizes, and tracks internal technical assignments and project details
  • Organizes dailies, rounds, and project meetings; organize and setup rooms/media
  • Ensures Flow (project management software) statuses and task assignments and project scope is maintained daily
  • Coordinates and package shot deliveries including submission documentation
  • Coordinates team member's task: ensure they are clear on daily deliverables; calendar management, records all notes from clients, dailies, and rounds
  • Communicates team updates; understands priorities
  • Coordinates and monitor multiple projects
  • Documentation and report preparation; tasks tracked and managed
  • Communicates any schedule changes to appropriate stakeholders; escalates to Supervisors/Producers as needed
  • Follows up on approved and completed work; ensure delivery on time and to specification
  • Establishes and maintains ongoing quality control improvement
  • Coordinates project closures processes

What You Bring

  • 5+ years of experience in the VFX or film production industry
  • Intermediate-Expert with Flow (formerly Shotgrid/Shotgun); setting up, updating and maintaining projects
  • Intermediate to Advanced knowledge of Google Suite
  • Demonstrated project management experience in VFX with the ability to problem-solve effectively in a fast-changing environment
  • Ability to effectively liaise and collaborate with clients, artists, and producers
  • Demonstrated aptitude for technical workflow challenges: directory structure, file formats, naming conventions, scripts, automation tools, etc.
  • A creative ability to interpret supervisor and client notes.
  • Demonstrated aptitude for technical workflow challenges: directory structure, file formats, naming conventions, scripts, automation tools, etc.
  • A thorough understanding of television/ episodic VFX production pipelines (and feature film a plus).
  • Knowledge VFX Software  2D/3D packages is considered an asset

About This Role


This is a hybrid based role. Project and staff positions available with extended health benefits and opportunity to participate in RRSP programs. Note: At this time we are only accepting applications from those artists legally eligible to work in Canada. 

The posted pay range is aligned with what we believe is fair pay at the time of posting this role. An applicant’s relevant education, experience, skills and qualifications, location and currency may all be considered when deciding pay position within the range.
