Job Description

The 4PL Customer Service Agent is responsible for managing and monitoring the end-to-end shipment process for customer supply chain operations, serving as the primary contact for daily operational activities. Key responsibilities include issuing VAT electronic invoices via the VNPT e-invoice system, verifying sales orders, monitoring invoice statuses, coordinating with 4PL OPS teams, handling adjustments, and maintaining records. The role requires 100% accuracy in invoicing, compliance with tax regulations, and professional handling of client queries.
Must have:
  • Issue VAT electronic invoices via the VNPT e-invoice system.
  • Verify sales orders, contracts, and supporting documents.
  • Monitor and update the status of issued invoices.
  • Coordinate with 4PL OPS teams to ensure accurate invoicing data.
  • Handle invoice adjustments, replacements, and cancellations.
  • Maintain proper records and filing of all issued invoices.
  • Assist in preparing invoice-related reports.

The role of 4PL CS Agent is to take full responsibility for customer experience by managing and monitoring the end-to-end shipment process on behalf of customer supply chain operation department in compliance with all company procedures and regulatory requirement. The first point of contact for stakeholders for daily operations activities

Key Responsibilities

The 4PL CS Agent is responsible for:

  • Issue VAT electronic invoices via the VNPT e-invoice system in accordance with company policy and Vietnam tax regulations.
  • Verify sales orders, contracts, and supporting documents before generating invoices.
  • Monitor and update the status of issued invoices (sent, signed, paid, canceled, etc.).
  • Coordinate with 4PL OPS teams to ensure accurate invoicing data.
  • Handle invoice adjustments, replacements, and cancellations as per internal processes and customer requests.
  • Maintain proper records and filing of all issued invoices in compliance with legal requirements.
  • Assist in preparing invoice-related reports as needed by management.

Perform other tasks as assigned by the supervisor

Who Are We Looking For

  • Maintain 100% accuracy in issued invoices (correct tax code, customer info, product/service description, amounts, etc.)
  • Issue invoices as required deadline of order fulfillment or as per contract/service level agreements.
  • 100% compliance with VNPT e-invoice regulations and Vietnamese tax authority (GDT) requirements.
  • Timely and professional handling of invoice-related queries from clients.

Effective handle of the VNPT e-invoice scope with minimal support required after onboarding/training
