Job Description

We are looking for an administrative assistant II to join our data analytics team, supporting the executive team including the SVP/department head, 2 VPs, a Director as well as other team members. The position will also work closely with the Operations team on department budgeting, invoicing, team events, and overall organizational coordination. The ideal candidate will be a proactive communicator who can anticipate the needs of the executives to keep the department on track.
Good To Have:
  • Prior experience in entertainment and/or research preferred.
Must Have:
  • Provide organizational and administrative support to department executives, anticipating needs and staying ahead.
  • Invoice tracking and processing.
  • Schedule, calendar, and phone management; keep executives on schedule.
  • Maintain and distribute programming schedules and other relevant reports.
  • Manage calendar and activities (setting meetings, call lists).
  • Take and distribute notes from team meetings/calls.
  • Coordinate travel, visas, schedules, and other travel logistics.
  • Generate travel and expense reports.
  • Create and maintain global contacts.
  • Create and update presentations, letters, and other management reports and communications.
  • Perform internet research.
  • Strong computer skills (Excel, Word, PowerPoint, Internet savvy).
  • Expertise in Ariba and Concur software.
  • Attention to detail and accuracy.
  • Strong written and verbal presentation skills.
  • Superb organizational and time management skills.
  • Proactive and thorough in approach.
  • Takes responsibility and ownership for tasks.
  • Can work independently to achieve goals and has a positive attitude.
  • Excellent oral and written communications skills.
  • Able to multi-task and work well with others.

Responsibilities
