About the Role:
As a Business Support Specialist within our DMS/Scanning Center, you will be a pivotal force in ensuring the successful execution of projects and the seamless flow of daily operations. You will act as a central communication hub, providing essential administrative, organizational, and data-related support to both our internal teams and external clients. This role demands meticulous attention to detail, exceptional communication skills, and a proactive, improvement-driven mindset.
Responsibilities:
Project & Process Documentation: Prepare and meticulously maintain project documentation specific to our DMS and scanning operations, including detailed project plans, operational workflows, stringent quality control procedures, and precise data specifications.
Meeting & Communication Management: Schedule and expertly coordinate project meetings, client briefings, and critical technical discussions. Facilitate clear and timely information exchange between project teams, technical staff, and external clients regarding project status, data inquiries, and issue resolution.
Project Tracking & Resource Oversight: Diligently track project timelines, key deliverables (such as scanned volumes and data accuracy), and resource allocation for our dedicated scanning and data entry teams.
Key Stakeholder Liaison: Serve as point of contact for both internal stakeholders (e.g., project managers, scanning technicians, IT support) and external stakeholders (e.g., clients, vendors) concerning project updates, data-related inquiries, and operational matters.
Continuous Process Improvement: Proactively observe and analyze current processes within the DMS and scanning operations to identify and propose opportunities for enhancing efficiency, data accuracy, and overall client satisfaction. Contribute actively to the development and implementation of process enhancements, documentation updates, and best practices.
Administrative & Procurement Support: Provide essential administrative support, including managing procurement processes for necessary supplies and liaising effectively with relevant vendors.
Ad-hoc Support & Project Contribution: Undertake various ad-hoc tasks and contribute to special projects as required to support the overarching business operations.
Qualifications:
Proven experience in a project support, administrative support, or a similar role, ideally within a document management or data processing environment.
Exceptional organizational and time management skills, coupled with a strong, demonstrable attention to detail.
Proficiency in GSuite Applications (Google Docs, Sheets, Slides, Meet, etc.) is essential.
Demonstrated ability to work effectively both independently and collaboratively within a team.
A highly proactive and solution-oriented approach to challenges and tasks.
Excellent ability to prioritize tasks and manage multiple deadlines efficiently in a fast-paced environment.
Fluent German and English Language Skills (both written and verbal) are required for effective communication with diverse stakeholders.
