Job Description

The Commercial Deals Specialist, based in Shanghai, supports Sales by creating sales quotations and providing administrative assistance. This role involves managing projects, supporting the quotation process, and ensuring accurate and timely quotes for customers across Asia. The specialist must identify and escalate issues, adapt to changing needs, and align with global sales operations teams.
Must have:
  • Generate quotations based on product specifications, pricing, and discounts.
  • Be aware of Illumina Pricing and related policies.
  • Be proficient in Illumina’s quoting and customer management tools.
  • Create and update data in Illumina’s web-based customer resource systems/databases.
  • Provide support to Sales personnel on pricing, approval, and quotes.
  • Conduct quote-related trainings to Sales personnel and distributors.
  • Work with marketing and sales to create and update regional price lists.
  • Compile information, analyze data, and prepare reports on quote trends.
  • Identify and resolve customer satisfaction and operational issues proactively.
  • Trigger escalations and seek approvals for non-standard business practices.
  • Lead or participate in process improvement projects and system implementations.
  • Ensure SOX/ISO/audit compliance and quality requirements are met.
  • Review terms and conditions for adherence to internal policies.
  • Assist with sales team processes including onboarding/off-boarding and analytics.
  • Assist in co-ordination and execution of sales events.
  • Provide general sales administration and support.
  • 2-3 years of relevant experience.
  • Strong written and verbal communication skills in Mandarin & English.
  • Strong attention to details and commitment to quality work.
  • Ability to multi-task, work in teams, and independently.
  • Possess an open, flexible, and positive can-do attitude.
  • Thorough knowledge of Microsoft Office and Outlook.
  • Ability to navigate new software applications.
Good to have:
  • Experience with SAP.
  • Bachelor’s degree or equivalent in business, life science or related field.

Position Summary:

This position is based in Shanghai and responsible for supporting Sales personnel with the creation of sales quotations and providing sales administrative support. This includes managing and participating in projects and on-going functions that support the quotation process and other administrative sales functions. The ideal candidate should be excited to be working with colleagues across Asia, and be capable of adjusting to differing cultural nuances. This may, on occasions, extend to working and aligning with the global Illumina sales operations teams. This role’s primary driver is the provision and enablement of accurate quotes to our customers in an efficient and timely manner. The ideal candidate is perceptive and capable of identifying actions or processes that are against the best interests of the company and be capable of taking appropriate action to escalate and correct the issue where appropriate. They must also be able to readily adapt to changing needs of our customers and sales team.

Position Responsibilities:

  • Generate quotations based on product specifications, pricing, and discount levels as per Illumina’s then current pricing policy.
  • Be aware of the details of the Illumina Pricing and related policies and be able to advise others on key aspects of these policies.
  • Be proficient in Illumina’s quoting and customer management tools.
  • Create and update required data in Illumina’s web-based customer resource systems/databases.
  • Provide support to Sales personnel on pricing, approval, and quotes related inquiries.
  • Conduct quote-related trainings to Sales personnel and Illumina sales channel partners (distributors).
  • Work with marketing and sales to create and update regional price list.
  • Compile information, analyze data, prepare reports on trends in quotes generated (volume, products, source, etc.) and other areas of sales administrative support. Provide recommendations to resolve problems or improve business processes.
  • Identify and resolve customer satisfaction and/or operational issues proactively by engaging cross functions at varying levels to seek appropriate solutions to meet internal and business partners’ requirements.
  • Trigger escalations appropriately and seek approvals for non-standard business practices.
  • Lead or participate in projects involving process improvements, new business process rollout, and new system implementations. Includes beta-testing and providing feedback on pre-launch sales admin tools.
  • Ensure SOX/ISO/audit compliance and quality requirements are met.
  • Review terms and conditions for adherence to internal policies.
  • Assist with sales team processes including staff onboarding/off-boarding, sales analytics support and sales team technology deployment and review.
  • Assist in co-ordination and execution of sales events including online meetings and in-person events.
  • General sales administration and support functions for Illumina sales reps and managers

Position Requirements:

  • 2-3 years of relevant experience.
  • Strong written and verbal communication skills in Mandarin & English.
  • Strong attention to details and commitment to deliver quality work in a timely manner.
  • Demonstrated ability to multi-task, work in team settings, and work independently when required.
  • Possess an open, flexible, and positive can-do attitude with good communication and interpersonal skill.
  • Thorough knowledge of Microsoft Office and Outlook and possess an innate ability to navigate through new software applications. Software, especially web-based software, shouldn’t scare the ideal candidate.

Preferred Experience/Education/Skills:

  • Bachelor’s degree or equivalent in business, life science or other related field.
