Job Description

The Department Assistant will be located at the Limours site, a major radar excellence center. Responsibilities include organizing meetings, managing visitor requests, overseeing external personnel, tracking employee imputations, arranging travel, processing expense reports, creating and monitoring purchase requests, managing office supplies, and collaborating with other assistants to ensure secretarial continuity. The role requires experience in team assistance for at least 50 people, proficiency in office tools, autonomy, rigor, proactivity, good interpersonal skills, and a strong sense of organization.

  • Setting up meetings: room reservation, equipment, breaks, lunches
  • Managing visitor requests on site
  • Managing service provider personnel: preparation for arrival, reception, extension of services
  • Monitoring and reminders of employee imputations
  • Organizing employee travel
  • Managing employee expense reports
  • Creating and following up on purchase requests, processing receptions
  • Managing stocks of office, IT, and hot beverage supplies
  • Managing equipment loans for meetings
  • Handling work requests
  • Collaborating effectively with other Assistants to ensure secretarial continuity

Your daily life

Located 20 minutes from the Paris-Saclay technology hub, the site is one of the largest centers of excellence for surface radars. We contribute to developing, designing, integrating, and testing air surveillance radars dedicated to detecting and identifying targets.

Assisting employees in the Development department includes the following missions:

  • Setting up meetings: room reservation, equipment, breaks, lunches at the Club
  • Visitor requests on site
  • Management of service provider personnel: preparation for arrival, reception, extension of services
  • Monitoring and reminders of employee imputations
  • Organization of employee travel
  • Management of their expense reports
  • Creation and follow-up of purchase requests, realization of receptions
  • Management of stocks of office, IT, and hot beverage supplies
  • Management of equipment loans for meetings
  • Work requests
  • Effective collaboration with other GMR Assistants, especially during holidays, to ensure secretarial continuity

Your profile

You have acquired experience in team assistance of at least 50 people.

You demonstrate agility in using IT tools and office tools (Excel, Word, Powerpoint) hold no secrets for you.

Autonomy, rigor, proactivity, and good interpersonal skills are qualities you are recognized for.

Sense of organization and follow-up of treated subjects are your assets for success in this position.
