Job Summary

Nscale is seeking a highly organized and proactive Executive Assistant to support the Chief Technology Officer (CTO) and Chief Product Officer (CPO). This high-impact role requires exceptional attention to detail, strong communication, and the ability to manage multiple priorities in a fast-paced, technical environment. The EA will enable the CTO and CPO to operate effectively by managing complex schedules, coordinating communications, and supporting key technical, product, and strategic initiatives across the organization.

Must Have

  • Manage complex, high-volume calendars across multiple time zones.
  • Oversee inboxes, prioritising, flagging, and responding to critical matters.
  • Track action items from leadership, product, and engineering meetings.
  • Support planning and execution of technical and product roadmaps.
  • Prepare agendas, reports, and presentation decks for executive leadership meetings.
  • Act as a first point of contact for the CTO and CPO with internal and external partners.
  • Arrange domestic and international travel, including visas, itineraries, accommodation, and expense management.
  • Draft, edit, and proofread correspondence, presentations, and reports.
  • Assist with leadership offsites, technical planning sessions, and product launches.
  • Process expenses and support budget tracking for technology and product functions.
  • Anticipate the needs of the CTO and CPO, proactively resolve issues.
  • Extensive experience as an Executive Assistant supporting senior executives.
  • Proven ability to manage complex calendars, priorities, and international travel.
  • Exceptional organisational skills with outstanding attention to detail.
  • Strong written and verbal communication skills.
  • Advanced proficiency in Google Workspace.
  • High level of discretion and sound judgment.
  • Adaptable, resilient, and calm under pressure.
  • Ability to pivot quickly as priorities change.

About the Role

We are seeking a highly organised and proactive Executive Assistant to support the Chief Technology Officer (CTO) and Chief Product Officer (CPO) at Nscale. This is a high-impact role requiring exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced, technical environment.

The Executive Assistant will play a critical role in enabling the CTO and CPO to operate at peak effectiveness by managing complex schedules, coordinating communications, and supporting key technical, product, and strategic initiatives across the organisation.

What You’ll Be Doing

  • Calendar & Inbox Management
  • Manage complex, high-volume calendars across multiple time zones for the CTO and CPO
  • Oversee inboxes, prioritising, flagging, and responding to critical matters as appropriate
  • Operational & Strategic Coordination
  • Track action items arising from leadership, product, and engineering meetings, ensuring follow-ups are completed and priorities progress on time
  • Support planning and execution of technical and product roadmaps by coordinating inputs and timelines
  • Meeting & Materials Preparation
  • Prepare agendas, reports, and presentation decks for executive leadership meetings, product reviews, architecture reviews, and board updates
  • Ensure meetings are well-structured, documented, and outcomes are clearly captured
  • Stakeholder Engagement
  • Act as a first point of contact for the CTO and CPO with internal teams (Engineering, Product, Finance, Ops, HR, Sales, Customer Success) and external partners
  • Build trusted relationships and facilitate smooth communication across highly cross-functional teams
  • Travel & Logistics
  • Arrange domestic and international travel, including visas, itineraries, accommodation, and expense management
  • Documentation & Communication
  • Draft, edit, and proofread correspondence, presentations, and reports related to technology and product initiatives
  • Event & Project Support
  • Assist with leadership offsites, technical planning sessions, product launches, and cross-functional initiatives led by the CTO and CPO
  • Expenses & Budget Support
  • Process expenses and support budget tracking for technology and product functions as required
  • Forward Planning & Anticipation
  • Anticipate the needs of the CTO and CPO, proactively resolve issues, and create an environment that allows them to focus on strategy, execution, and innovation

About You (Skills / Qualifications)

  • Extensive years of experience as an Executive Assistant supporting senior executives, ideally in technology or product-led organisations
  • Proven ability to manage complex calendars, priorities, and international travel
  • Exceptional organisational skills with outstanding attention to detail
  • Strong written and verbal communication skills; confident, professional, and approachable
  • Advanced proficiency in Google Workspace
  • High level of discretion and sound judgment when handling sensitive and confidential information
  • Adaptable, resilient, and calm under pressure, with the ability to pivot quickly as priorities change
  • Experience in a start-up or scale-up environment is a strong plus
  • Familiarity with engineering or product organisations is advantageous
