Job Description

The Executive Administrative Assistant will provide high-level administrative support to the Chief Information Security Officer (CISO) and supports additional Vice Presidents within the Chief Information Officer (CIO) Office. This is the main support role and plays a critical part in ensuring smooth and efficient operations. The ideal candidate is detail-oriented, highly organized, proactive, and thrives in a fast-paced, dynamic environment. The role requires discretion, excellent judgment, and the ability to interact effectively with senior leaders, global teams, and external partners.
Must have:
  • Manage complex calendars and daily schedules for executive staff.
  • Coordinate domestic and international travel, including detailed itineraries and logistical arrangements.
  • Plan and execute offsite meetings, leadership events, and team offsites, including travel and venue logistics.
  • Assist in the development and formatting of PowerPoint presentations, charts, and other materials.
  • Organize and manage meeting agendas and consolidate briefing materials.
  • Lead planning and logistics for quarterly communications such as Town Halls and executive briefings.
  • Manage internal and external social and community engagement events for local teams.
  • Reconcile corporate credit card transactions and submit accurate and timely expense reports.
  • Enter purchase requisitions, order supplies, and manage vendor coordination.
  • Maintain and handle confidential and sensitive information with a high level of integrity.
  • Serve as a representative of NXP in professional interactions with senior leadership, customers, and partners.
  • Perform additional duties and special projects as assigned.

Required Skills and Experience:

  • Minimum of 10 years of experience as an Executive Administrative Assistant supporting senior executives.
  • Highly proficient with Microsoft Office applications including Outlook, Excel, PowerPoint, Teams, SharePoint, and Adobe.
  • Experience with internal IT systems such as Concur, SAP, and AI-based productivity tools.
  • Excellent interpersonal, communication, and organizational skills.
  • Demonstrated ability to manage interruptions professionally while remaining focused and accessible.
  • Proven ability to prioritize tasks, anticipate executive needs, and propose effective solutions.
  • Strong project management skills and attention to detail.
  • Experience planning and coordinating team-building and social events.
  • Adaptable, resourceful, and proactive in problem-solving.
  • Bachelor’s degree strongly preferred.
