Job Description

As the Executive Assistant to the President of MarTech, Data & Services and some members of the leadership team (Direct Reports of the President), you will play a critical role in driving efficiency, ensuring seamless operations and high-level support. You will thrive in a collaborative setting, acting as a representative of the executive team with the utmost professionalism and reliability. Daily, you will engage with senior executives across various departments, adjusting procedures to meet departmental goals and providing critical support to the President's leadership team.
Must have:
  • Manage complex calendars to optimize time management and productivity.
  • Evaluate, assess and prioritize incoming inquiries, exercising discretion in handling sensitive information.
  • Oversee the logistics and coordination of internal and external meetings.
  • Organize complex domestic and international travel itineraries with precision.
  • Manage all aspects of planning internal and external events, from catering to transportation.
  • Process invoices and T&E expense claims, ensuring policy adherence and timely submission.
  • Facilitate onboarding and offboarding processes, including equipment and system setup.
  • Draft and edit professional communications for a range of internal and external audiences.
  • Maintain departmental documents, including organizational charts and executive bios.
  • Independently manage regular activities and anticipate potential issues.
  • Assist in preparing and refining spreadsheets and presentations for client meetings.
  • Provide comprehensive support to the President's leadership team.

  • Experience supporting at the Managing Director level (or equivalent) or above
  • A college degree is a plus

How You’ll Make an Impact

You will thrive in a collaborative setting, acting as a representative of the executive team with the utmost professionalism and reliability. Daily, you will engage with senior executives across various departments, adjusting procedures to meet departmental goals and providing critical support to the President's leadership team.

What you’ll achieve

  • Calendar Management: Manage complex calendars to optimize time management and productivity.
  • Inquiry Screening: Evaluate, assess and prioritize incoming inquiries, exercising discretion in handling sensitive information.
  • Meeting Coordination: Oversee the logistics and coordination of internal and external meetings.
  • Travel Arrangements: Organize complex domestic and international travel itineraries with precision.
  • Event Organization: Manage all aspects of planning internal and external events, from catering to transportation.
  • Expense Processing: Process invoices and T&E expense claims, ensuring policy adherence and timely submission.
  • Onboarding/Offboarding: Facilitate onboarding and offboarding processes, including equipment and system setup.
  • Communication: Draft and edit professional communications for a range of internal and external audiences.
  • Document Management: Maintain departmental documents, including organizational charts and executive bios.
  • Proactive Support: Independently manage regular activities and anticipate potential issues.
  • Presentation Preparation: Assist in preparing and refining spreadsheets and presentations for client meetings.
  • Leadership Team Support: Provide comprehensive support to the President's leadership team.

Who You Are

  • At least five years of administrative experience.
  • Exceptional organizational skills and attention to detail.
  • Proven ability to handle confidential matters with discretion and sound judgment, particularly in interactions with senior executives.
  • Strong interpersonal, written, and oral communication skills.
  • Proficiency in Microsoft Office Suite.
  • Professional telephone etiquette and ability to manage competing priorities, including high-level calendar management.
  • Preferred Qualifications:
  • Experience supporting at the Managing Director level (or equivalent) or above.
  • A college degree is a plus.
