Job Description

The Facilities Lead at DNEG Sydney will manage the local Facilities team and ensure the efficient running of the studio. This role involves overseeing building services, supply contracts, office amenities, and acting as the primary contact for facilities issues and office events. The lead will also manage local building and refurbishment projects, define office policies, coordinate health and safety, and work with global teams to align with DNEG's best practices. This is a 1-year contract position.
Must have:
  • Line management of the Sydney Facilities Team including Reception, Runners, Travel Coordinator and Facilities Assistant
  • Management of building services and supply contracts including cleaning, waste/recycling collection, security and all aspects of building maintenance
  • Management of day to day office amenities, including breakout, kitchen operations, supplies and other relevant duties
  • Acting as primary point of contact for any building services issues including managing facilities requests via JIRA ticketing system
  • Acting as main point of contact for office events ensuring compliance with company policies
  • Acting as primary contract for local contractors and global Facilities Management Leads on any local building and refurbishment projects
  • Working with local and global senior management and local HR to define and communicate office and facilities processes and policies
  • Management of processes for international and local couriers and mail delivery and tracking of deliveries
  • Liaising with global Security and Facilities to ensure DNEG’s best-practice Global security protocols are deployed and ensuring local ongoing compliance
  • Conducting site safety and security inductions for all new-starters in conjunction with DNEG’s local Talent Acquisition and HR leads
  • Liaising with local management on runner training and career progression
  • Management of the local facilities department pages on the Company’s intranet
  • Working with the local and global senior management to produce the annual department budgets
  • Coordinating local Health and Safety and Fire Safety requirements including risk assessments, organising emergency procedures and leading the Joint Occupational Health and Safety Committee
  • Working with building owners to ensure all statutory inspections are carried out in accordance with local city building codes and guidelines
  • Working with local HR to lead any first aid incident reporting
  • Office management including front-of house and building services
  • Strong leadership skills with experience delegating and coordinating work across multiple disciplines
  • Security, Health & Safety strategy and implementation
  • Managing third party/supplier relationships effectively
  • Liaising with local building owners on building issues and other lease matters
  • Proven track record of budgeting and forecasting
  • Background of working within a diverse workforce in a creative/and or digital environment
  • Experience working with Mac OS
  • Used Jira ticketing for issues management
  • Previous office refurbishment and relocation management experience
  • Right to work in Australia

The Role

The facilities team plays a central role in the smooth running of our studios. We currently have an exciting opportunity to lead our Sydney Facilities team as Facilities Lead. Day to day you will be responsible for a multitude of tasks so it’s essential that you’re well-organised and have strong communication skills. Working closely with the local Senior Management, you will ensure the efficient running of the Sydney facility whilst liaising with our global Facilities Management lead and your global Facilities counterparts to align with global best-practice business approach.

What You Will Do

  • Line management of the Sydney Facilities Team including Reception, Runners, Travel Coordinator and Facilities Assistant.
  • Management of building services and supply contracts including cleaning, waste/recycling collection, security and all aspects of building maintenance including electrical, plumbing, HVAC, emergency generator and CCTV.
  • Management of day to day office amenities, including breakout, kitchen operations, supplies and other relevant duties.
  • Acting as primary point of contact for any building services issues including managing facilities requests coming into facilities via JIRA ticketing system ensuring swift response to tickets.
  • Acting as main point of contact for office events ensuring compliance with company policies.
  • Acting as primary contract for local contractors and global Facilities Management Leads on any local building and refurbishment projects.
  • Working with local and global senior management and local HR to define and communicate office and facilities processes and policies.
  • Management of processes for international and local couriers and mail delivery and tracking of deliveries in and out of the building as well as to staff.
  • Liaising with global Security and Facilities to ensure DNEG’s best-practice Global security protocols are deployed and ensuring local ongoing compliance.
