Job Description

We’re looking for an Office & HR Coordinator to join our Sao Paulo office and play a key role in maintaining an engaging, safe, and smooth-running workplace. As our Office & HR Coordinator, you will be the go-to person for all things related to office operations, facilities, and employee experience. From managing the reception and coordinating with vendors to organizing BEE (Betsson Employee Experience) events and supporting HR processes — your impact will be felt across the entire organization.
Must have:
  • Oversee daily reception services and front-office coordination.
  • Ensure general office upkeep, supplies management, vendor coordination, and service-level agreements.
  • Act as the main liaison with building administration and local service providers.
  • Support onboarding logistics (desk setup, access cards, welcome kits).
  • Manage mail and courier services.
  • Ensure proper maintenance of office infrastructure and equipment.
  • Coordinate preventive and corrective maintenance schedules with vendors.
  • Oversee workspace allocation, ergonomics, and efficient use of office areas.
  • Manage facilities-related purchases and follow budget controls.
  • Lead business continuity and office emergency response protocols.
  • Ensure compliance with national occupational health and safety regulations.
  • Manage documentation and scheduling for mandatory EHS training and risk assessments.
  • Coordinate with external occupational health service providers.
  • Lead safety inspections, first aid kits maintenance, evacuation drills, and internal awareness campaigns.
  • Maintain all records required by local labor and EHS authorities.
  • Plan and execute local employee engagement events and celebrations.
  • Align local engagement initiatives with the Global HR & BEE team.
  • Coordinate volunteer and social responsibility activities.
  • Manage the approved BEE budget and vendor payments.
  • Support employee lifecycle processes (onboarding, offboarding, internal movements).
  • Assist in administering employee benefits, perks, and wellness programs.
  • Ensure timely updates of employee records and documentation.

What we’re looking for:

  • Previous 2-3 years experience in office administration, facilities, or HR coordination
  • Knowledge of local labor and safety regulations
  • Strong organizational and multitasking skills
  • Service mindset and excellent interpersonal communication
  • Proficiency in English. Nice to have Spanish
  • On site from Monday to Friday availability
