Job Description

The Legal Operations Specialist will support the legal team by managing operational tasks, with a primary focus on vendor and ebilling management. This role involves liaising with legal vendors, running RFP processes, onboarding new vendors, and negotiating contract terms. The specialist will also oversee ebilling, review invoices, analyze billing practices, and utilize data functions and AI tools for reporting and analysis. The position requires a meticulous individual with strong organizational and communication skills, a proactive approach, and a passion for continuous improvement.
Must have:
  • Act as a liaison for existing legal vendors
  • Facilitate vendor relationships by running the RFP process
  • Onboard new vendors
  • Interpret and negotiate basic contract terms
  • Serve as primary owner for ebilling and back up in support of the law firm management program
  • Review invoices and remediate billing issues
  • Analyze billing practices and scrutinize invoices
  • Support quarter and year-end reporting
  • Use advanced data functions (e.g., pivots, vlookups, formulas) and AI tools to build reports, dashboards, and perform data analysis
  • Develop and implement standardized processes and procedures for routine legal tasks
  • Manage ad hoc projects
  • 4+ years experience in legal operations
  • Solid understanding of legal services, law firm operations, and the legal industry landscape
  • Experience managing procurement processes
  • Proficiency in Google Workspace
  • Experience with e-billing systems, preferably Onit and general supplier contract negotiation
  • Ability to manage multiple workstreams simultaneously and meet deadlines
Good to have:
  • Preference for in-house legal operations experience
  • Familiarity with AI in the legal realm and a champion for same
  • Passion for taking on increasing responsibility and more substantive work over time

The Legal Operations Specialist will play a vital role in supporting the legal team by handling various operational tasks, with a primary focus on vendor management and ebilling management. This position requires a meticulous individual with strong organizational and communication skills, a proactive approach, and a passion for continuous improvement.

Key Responsibilities:

  • Act as a liaison for existing legal vendors, facilitate vendor relationships by running the RFP process, onboarding new vendors, and interpreting and negotiating basic contract terms.
  • Serve as primary owner for ebilling and back up in support of the law firm management program which includes, onboarding new law firms, using Persuit for bids, reviewing invoices, and remediating billing issues.
  • Analyze billing practices, scrutinize invoices, and support quarter and year-end reporting.
  • Use advanced data functions (e.g., pivots, vlookups, formulas) and AI tools to build reports, dashboards, and perform data analysis.
  • Provide back up in support of onboarding new legal team members, including tech requests, location set up, calendaring, org chart updates, and DL management.
  • Develop and implement standardized processes and procedures for routine legal tasks, finding opportunities for workflow automation.
  • Manage ad hoc projects as assigned, ensuring timely completion and high-quality results.

Qualifications:

  • 4+ years experience in legal operations, with preference for in-house experience.
  • Solid understanding of legal services, law firm operations, and the legal industry landscape.
  • Familiarity with AI in the legal realm and a champion for same.
  • Experience managing procurement processes.
  • Proficiency in Google Workspace.
  • Experience with e-billing systems, preferably Onit and general supplier contract negotiation.
  • Ability to manage multiple workstreams simultaneously and meet deadlines.
  • Passion for taking on increasing responsibility and more substantive work over time.
