Job Summary

Job Description

The Office Coordinator will be responsible for the efficient operation of the reception and office, handling incoming and outgoing correspondence, maintaining company records, and organizing meetings and events. They will also manage office supplies, support company purchases, and coordinate access to the office. This role involves collaboration with other branches, preparing presentations, managing parking spaces, and ensuring the confidentiality of information. Additionally, the coordinator is expected to maintain office equipment and provide ongoing administrative support.
Must have:
  • Proficiency in English (written and spoken)
  • Practical experience with MS Office
  • Excellent communication and interpersonal skills
  • Strong sense of responsibility and initiative
  • Excellent organizational skills
Good to have:
  • Higher education preferred

Key Responsibilities

  • Ensuring the efficient operation of the reception and office
  • Registering and handling incoming and outgoing correspondence
  • Supervising document circulation, maintaining company records, and archiving them
  • Organizing meetings, conferences, and events, gathering offers, and liaising with suppliers
  • Purchasing office supplies and collaborating with the procurement department
  • Supporting company purchases (small electronic devices, business phones, etc.)
  • Cooperating with other Phinia branches and service providers working for Phinia in Kraków
  • Preparing presentations (organizational charts, office maps, information boards)
  • Coordinating access (mailing groups, badges/entry permissions)
  • Managing parking spaces (liaising with the administrator, assigning spaces)
  • Ensuring the confidentiality of information
  • Maintaining office equipment in good condition and order
  • Providing ongoing administrative support

What we’re looking for

  • Communicative proficiency in English (both written and spoken)
  • Practical experience with MS Office
  • Highly developed interpersonal and communication skills
  • Self-discipline, strong sense of responsibility, and initiative
  • Excellent organizational skills and ability to work under time pressure
  • Experience in a coordination/multitasking role is required

Nice to Have

  • Higher education is preferred
  • Familiarity with graphic design tools such as Canva
