The Office Coordinator is responsible for a wide range of facility and administrative tasks, serving as the primary point of contact for all office inquiries with a high level of professionalism. Key activities include providing general reception support, managing mail, space planning, overseeing emergency evacuation procedures, and responding to requests promptly. The role also involves tracking facility costs, managing office supplies, providing administrative support to executives, assisting with meeting arrangements, and retrieving company property from various offices. This position acts as a liaison with property management and collaborates with support groups like HR, IT, and Finance, performing other assigned duties.

Job Details

The Office Coordinator is tasked with a wide variety of facility and administrative related responsibilities. This position serves as the primary point of contact for all office inquiries. The Office Coordinator is highly visible and requires a high level of professionalism.

Key Activities:

  • Provides general reception support to the office, such as answering phones and greeting guests.
  • Manages incoming and outgoing mailings and packages
  • Responsible for space planning and seating assignments for assigned office location. Maintains floor plans for assigned office location
  • Responsible for emergency evacuation procedures for assigned office location
  • Respond to all requests/inquiries in a timely, and professional manner.
  • Tracks and monitors facility-related costs for assigned office location
  • Handles the procurement and stocking of office supplies, snacks, etc.
  • Provides administrative support to executive staff, such as expense reconciliation and occasional travel coordination
  • Provides meeting support to assigned office locations, such as conference room booking and set-up, catering, etc.
  • Assist IT with retrieval of company property from various EMEA/ APAC comScore offices.
  • Act as a liaison between comScore and the Property Management Company • Effectively communicate with support groups (HR, IT, Finance, etc.).
  • Performs other duties as assigned

Core Qualifications:

  • Good verbal/written communication skills required
  • Some experience office admin/facilities coordination.
  • Ability to communicate effectively across multiple organizations and facilities
  • Possesses excellent time management skills as well as the ability to multi-task
  • Has strong decision-making skills and the ability to work independently
  • Good Knowledge in MS Office products
